Role Summary The Office Administrator is responsible for the day-to-day administrative and front-end operations of the clinic. This in person role ensures smooth client flow, accurate administrative processes, and a welcoming, organized clinical environment. We are looking for someone who would be available Monday’s and Tuesday’s from 12-8pm, and Saturday’s from 9am-4pm. This role would be ideal for a psychology student that is interested in gaining experience in a clinical setting. Key Responsibilities Front Desk & Client Support Manage client scheduling and appointment coordination. Serve as the first point of contact for clients via phone, email, and in person (Are you someone who is friendly and warm?) Respond to client inquiries promptly and professionally. Support clients throughout their experience to ensure smooth and positive interactions. (Are you able to ethically think on the spot?) Administrative Operations Manage daily administrative tasks to support clinic efficiency: Respond to client emails to reschedule appointments. Answer phones and client texts in a warm manner. Follow clinic policies, procedures, and privacy regulations in all administrative tasks. Support clinicians with scheduling coordination and administrative needs: Following up with clients to rebook. Ensure new clients have completed their forms prior to their appointment and prepare paperwork for next day. Greeting their clients when they arrive or providing a verbal tour for new clients. Office & Facility Management Maintain an organized, clean, and professional office environment. Dust offices weekly Vacuum each night before closing Ensure waiting room is clean and welcoming Coffee, tea, and snacks restocked, beverage fridge refilled Ensure administrative equipment and tools are functioning properly and report issues as needed. Manage closing procedures and locking up the office for the day.
