As the Administrative Assistant, you will report to the Executive Advisor to the Director of Partnerships and will be responsible for providing a high level of administrative and business support. You will be leading and coordinating clerical support for the business unit. You will also be responsible for filtering information, policies and procedures throughout the business unit. Primary duties include:
- Manage Director's calendar, scheduling and prioritizing meetings, screening and distribution of incoming correspondence and inquiries to the Director Office.
- Act as a resource to support Council or Committee reports and cross corporate communications.
- Create agendas and take minutes for the business unit and leadership team meetings.
- Conduct office management by ordering supplies, furniture, technology, and equipment; supporting space planning; and organizing staff moves as needed.
- Assist the Partnerships leadership team with staff recruitment and onboarding, employee engagement, culture building, and coordination of team meetings and events.
- Direct media, public and 311 inquiries to appropriate team members for action or response.
- Support with BU record management planning and coordination.
- Provide assistance to business unit related support services including Finance, Human Resources, and Marketing.
- Administrative duties to include corporate credit card statements, travel arrangements, internal/external mail, and digital file management.
Qualifications
- A completed 1 year certificate in Business Administration or a related field and at least 5 years of related experience that includes project or program administrative support.
- Intermediate level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, and SharePoint).
- Excellent interpersonal and communication skills with the ability to collaborate and work as an effective team member.
- The ability to work independently with limited supervision, demonstrated initiative, and problem-solving skills. Handling confidential and sensitive information, and high level of trust is essential for this position.
- The ability to thrive in a fast-paced environment and adapt quickly to changing priorities.

**Workstyle:**This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.
