Overview: The Sobeys National Equipment Procurement Team is seeking an Equipment Buyer Coordinator to support store construction, renovation, equipment replenishment, and corporate rollout initiatives across our national store network.

Operating within the Real Estate and Construction division, this role is responsible for successful project execution by coordinating the procurement of store equipment and fixtures and working closely with Project Managers, Design, Store Operations, Finance, as well as external vendors and contractors. We are looking for an analytical, detail-oriented, and solution-focused professional who thrives in a fast-paced environment, excels at problem solving, can effectively manage multiple priorities, and maintains strong cross-functional relationships.

What you’ll be focusing on:

• Support store construction, renovation, equipment replenishment, and corporate rollout initiatives by coordinating equipment procurement activities.
• Review project scope with Project Managers, including equipment requirements, budgets, and project timelines.
• Procure store equipment, fixtures, smallwares, and refrigeration systems in alignment with company standards, project requirements all while respecting National standards/specifications.
• Manage procurement for store equipment replenishment programs across the national network.
• Create and manage purchase orders in SAP and maintain accurate procurement documentation.
• Track equipment orders, manage freight coordination, and ensure timely delivery to meet project schedules.
• Request, review, and analyze vendor quotations, ensuring alignment with layouts, standards, and technical specifications.
• Maintain and manage equipment technical specifications and documentation, ensuring alignment with company equipment standards and operational requirements.
• Provide equipment specifications and cut sheets to stakeholders including Design, Architecture, and Project Management teams.
• Update procurement budgets based on layout revisions, equipment changes, or project scope adjustments.
• Collaborate with Project Managers, vendors, Store Planners and store teams to ensure equipment procurement aligns with construction schedules and operational needs.
• Coordinate the redeployment and management of surplus or reusable equipment across stores or warehouses.
• Track and manage equipment-related project change orders and capital appropriation requests.
• Review and evaluate project invoices and contractor progress claims to ensure alignment with purchase orders and approved budgets.
• Conduct occasional store or warehouse visits to assess state of equipment and required scope of work during project planning.

What you should have:

• Post secondary degree, diploma, or certificate with 5+ years of relevant experience, or an equivalent combination of education and experience.
• Working knowledge of procurement processes, vendor management, and project coordination.
• Ability to interpret store fixture plans, equipment layouts, and retail equipment standards.
• Experience in grocery retail operations or retail construction (asset), with a willingness to develop technical knowledge in refrigeration and retail equipment.
• Strong communication and collaboration skills and ability to work effectively across cross functional teams.
• Excellent organizational and time management abilities, with the capacity to manage multiple projects and deadlines.
• Analytical thinking and solution oriented problem solving to support fast paced project environments.
• Technical proficiency, including Microsoft Office (especially Excel) and experience with SAP or similar ERP systems (asset).
• Adaptability and ability to thrive in a dynamic environment, balancing shifting priorities and project requirements.
