About the role
Supply Chain CoordinatorThe Supply Chain Coordinator provides administrative, analytical and operational support to the National Supply Chain Manager, contributing to the execution of supply chain management processes and initiatives. This role supports category management, procurement, vendor management, and asset management functions, by coordinating data, reporting, documentation and RFx processes, enabling the Manager to focus on strategic priorities. The Coordinator is responsible for document control, reporting, vendor master data updates, RFx coordination, meeting preparation, and SharePoint management, ensuring the effective flow of information across the supply chain function.
This position provides broad exposure to enterprise supply chain operations and systems within a large, multi-sector organization based in Calgary, AB with occasional travel to project sites as required.
What You Will Be Working On
Administrative & Process Support
- Maintain and update supply chain documentation, forms, checklists, and procedures on internal SharePoint sites.
- Assist in compiling, organizing, and distributing reports and presentations for various audiences, including management and project teams.
- Support the implementation and communication of supply chain policies, procedures, best practices, and resources.
- Coordinate meeting logistics, prepare agendas, record minutes, and track action items for supply chain-related meetings.
- Assist with document control and ensure compliance with company standards.
Vendor & Data Management
- Support vendor master data updates and ensure accuracy in company databases.
- Assist in the administration of RFQ, RFP, and RFI processes, including tracking submissions and maintaining contact lists.
- Help compile and distribute vendor communications and maintain preferred vendor information on the company intranet.
- Track proposals, submissions, and feedback, supporting the Lead in vendor relationship management.
Reporting & Analytics
- Compile and analyze spend data, vendor utilization, and market trends to support category management and strategic sourcing initiatives.
- Utilize approved digital and AI-enabled tools to support data analysis, reporting preparation and insight generation for supply chain initiatives.
- Prepare regular KPI reports and dashboards for the supply chain team.
- Assist in the preparation of research and competitive analysis for strategic and annual forecasts.
Cross-Functional Collaboration
- Work closely with business units, stakeholders, and the broader supply chain team to move key priorities forward.
- Support the Manager in coordinating with Finance, Operations, Digital Services, and other departments.
What We Are Looking For
- Undergraduate degree or diploma in Business, Supply Chain Management, or a related field.
- Related certification (SCMP) is an asset
- 1–3 years’ experience in an administrative, analyst, or coordinator role within supply chain, procurement, or business operations.
- A background as a Buyer or Purchaser is an asset
- Strong to advanced technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and database management.
- Experience using emerging digital and AI-enabled business tools to improve efficiency, data quality, and analytical outputs, within established governance and controls.
- Strong organizational skills and attention to detail.
- Effective written and verbal communication skills.
- Ability to forge, grow and maintain positive relationships while influencing change through collaboration
- Proven results with effective communication, presentation and facilitating skills to various size and styles of internal and external stakeholders
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Demonstrated commitment to ethical standards and company values.
- Experience with Power BI is an asset.
- Experience with ViewPoint or similar ERP systems is an asset.
- Experience with Semarchy xDM or similar MDM systems is an asset.
- Experience with Coupa or similar P2P systems is an asset.
- Familiarity with RFx processes and vendor management is an asset.
