What you will do
Partnering effectively with service team, this position will be responsible for the scheduling and optimization of service work. Scheduler will have the responsibility of ensuring all customer commitments are met in-regard to service delivery.
Service Administrators will schedule and dispatch field labor force to meet customer requests and expectations based upon nature of call: urgency, contractual obligation, available resources and customer needs. Handles all emergency dispatching of technicians, which requires modifying current dispatching schedule. Does long term planning to ensure dispatching is evenly distributed.
How you will do it
- This is not a remote position; you will be onsite.
- Receives customer requests for unscheduled or scheduled service.
- Monitor Technician activity, reporting and schedules ensuring that customer commitments are met; clearly communicate status changes back to the customer regarding early or late anticipated arrivals.
- Coordinates labor scheduling to align technicians to the appropriate customer and service needs.
- Communicates the action plan and services to be provided directly to the customer.
- Ensures work has been performed to the customer’s expectations and performs follow-up with the customer, as needed.
- Answer any customer inquiries and resolves or escalates customer issues, as appropriate.
- Ensure Technicians are provided with weekly schedules. Maintains consistent communication with assigned Technicians.
- Follows up on activities to ensure completion in an established timeframe.
- Ensures that all customer account information required to support call management activities and scheduling of tasks are kept up to date
- Scheduled Service Visits – on time.
- Parts ordering/PO creation support.
- Assisting with A/R functions; requesting POs from customers, updating invoices as required, working with sales team to ensure invoicing requirements are met to provide customers with accurate and timely invoices. Assisting A/R with collections
- Other duties and administrative activities as assigned.
What we look for
Required
- 5+ years of business-to-business customer service.
- Fleet scheduler, service coordinator, or other relative experience
- High school diploma or equivalent required.
- Must demonstrate the ability to perform work independently and demonstrate solid organizational and attention to detail skills.
- Must have strong interpersonal skills to effectively communicate with both internal and external clients.
- Must have the ability to simultaneously handle a large and diverse number of projects, tasks, and issues with tact, cooperation, and persistence.
- Able to prioritize work activities based on financial impact to desired business goals.
- Able to influence diverse teams to accomplish tasks/goals.
- Demonstrated skills in Excel and Word with ability to learn new software programs
Preferred
- Two to five years of service industry experience and/or service scheduling.
- College or University
- Experience and/or basic project accounting or costing principles.
- Experience in a fast-paced environment
- Experience with ACE/Oracle systems
- Product knowledge of life safety (fire alarm & sprinkler) equipment
HIRING HOURLY RANGE: $28.85 - $39,90 (Hourly rate to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
