About the role
This position has a term length from June 1 to August 31, 2026.
**Location -**This role is in-person. Work primarily takes place at North Campus, Edmonton.
The Accounting Services Clerk is a temporary summer employment opportunity for students currently working towards their accounting or business administration diploma or degree. This summer position will provide practical, hands-on work experience within the Department of Chemistry’s financial and administrative team. One of the duties of this position includes processing invoices and overseeing accounts receivable activities. This includes preparing, verifying, and issuing accurate invoices, credit notes, and account statements to clients in a timely manner. The Accounting Services Clerk ensures that billing information is complete and compliant with applicable guidelines, monitors outstanding receivables, follows up on payments as required, and assists with resolving discrepancies or inquiries related to billing. Through careful attention to detail and strong organizational skills, the Accounting Services Clerk helps maintain the integrity of the Department’s financial processes and supports effective financial management overall.

Generates and processes internal and external billings for the Department of Chemistry.

Calculates, prepares, and issues accurate invoices, credit notes, and billing statements to internal and external clients.

Monitors and manages outstanding invoices, investigates discrepancies, and resolves billing issues.

Follows up with customers on overdue accounts and communicates with Chemistry staff and clients on billing issues.

Partners with supplier account managers to track down missing invoices, resolve corrections, and verify payment applications.

Reconciles customer accounts to ensure accuracy and assisting with month-end closing procedures.

Maintains organized, accurate files for all customer transactions, including invoices and payment records.

Maintains electronic and paper filing systems in accordance with retention policies.

Ensures confidentiality and proper handling of sensitive financial and personnel information.

Assists with requests for supporting documentation, audits, reporting requirements, and compliance reviews.

Utilizes office and financial systems to track, update, and retrieve information.

Assists Department Manager with budgeting, tracking expenditures, and preparing financial summaries.

Creates and maintains spreadsheets like MS Excel, Google Sheets, and specialized databases.

Prepares standard financial reports, expense reports and designs and develops customized reports for specific needs.

Minimum high school diploma or equivalent; Enrolled in a post-secondary program in business, accounting, office administration, or a related field is preferred.

Knowledge of financial procedures, bookkeeping principles, and office administration.

Proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Drive, Docs, Sheets, Slides, Forms, Calendar, & Meet) and financial or ERP systems.

Strong attention to detail, accuracy, and organizational skills.

Excellent communication and interpersonal skills.

Ability to exercise discretion, judgment, and confidentiality
