JOB SUMMARY
The Administrator will provide scheduling and support services to the Management group and other leadership as needed, ensuring professional, high-quality service and positive experience for our customers.
RESPONSIBILITIES AND DUTIES
- Assist in developing customer service standards, policies, and procedures for the organization.
- Review and submit time sheets to the client in a timely manner.
- Support the investigation and resolution of service-related errors.
- Capture data and perform Labor Equipment Management (LEM) entries, including reconciliation of service orders.
- Collaborate with customers to gather information and ensure quality, on-time service delivery.
- Work with the Managers regarding services provided or billing matters.
- Communicate solutions, successes, and opportunities to the management team.
- For complex service-related situations, interact with customers to provide accurate information regarding products, accounts, and services.
- Coordinate customer service requirements with other departments as necessary to ensure effective delivery service.
- Handle and resolve customer scheduling issues or complaints, escalating to management when required.
- Perform other duties as assigned.
QUALIFICATIONS
- 2–5 years of experience in a customer service or support role.
- High School Diploma required.
- Business Administration Certificate or Diploma is considered an asset.
- Ability to work independently and in a fast-paced, dynamic environment.
Other Requirements
- Must have legal authorization to work in Canada.
- Ability to successfully pass a Pre-Access Drug & Alcohol
- Valid driver’s license, clean driving abstract, and reliable vehicle with proof of insurance.
- Must successfully complete background and motor vehicle checks.

- Strong organizational and interpersonal abilities, fostering effective collaboration with team members and stakeholders.
- Excellent written and verbal communication skills, with the capacity to quickly learn new processes and adapt to changing circumstances.
- Superior time management skills and the ability to apply creative problem-solving to overcome challenges.
- Proficient in Microsoft Office Suite and systems such as NetSuite, with the ability to efficiently manage administrative and operational tasks.
RELATIONSHIPS
The Administrator reports directly to the General Manager. The incumbent also works directly with:
- Procurement Department
- Sales Department
- Service Department
- Rental Department
AUTHORITY
The Administrator holds the authority to do the following:
- Recommend and implement measures to improve and streamline departmental processes.
- Assess situations or circumstances and make sound, independent decisions.
- Work autonomously with minimal supervision.
PHYSICAL DEMANDS
The Administrator will spend approximately 80% of their day sitting, 15% walking or standing, and 5% lifting boxes weighing up to 20 lbs. The role requires extended periods of computer use, which may result in eye or joint strain associated with operating computer equipment.
