Overview of Company Clearford Water Systems Inc. From conceptual design, regulatory approval, fabrication of UV systems, to operations and regulatory compliance, Clearford supports water infrastructure challenges and takes responsibility for regulatory compliance. Scope of Position As the Projects Controls & Quality Specialist, you will play a key role supporting the operational excellence of the Professional Services. Supporting the bridge between engineering, field operations expertise, compliance and internal operational project control measures, this role ensures high standards of technical and project quality, consistency, knowledge sharing and continuous improvement. You will be responsible for supporting the detailed development, implementation and maintenance and day-to-day administration of a Quality Management System (QMS), helping to ensure consistent adherence to internal processes, standards and deliverable quality requirements. You will work closely with the Projects Director, General Manager, and VP of Engineering and will support quality oversight of project deliverables, monitor compliance with established procedures, track project deliverables and business development leads, and generate reporting to support project controls, resource planning and operational decision-making. You will also provide broader administration and operational support functions as required to enable the continued growth, efficiency and scalability of the Professional Services business. You will support the development and regular monitoring of project plans, schedules, work hours, budgets, and expenditures, and assist the team to ensure project deadlines are met, team members achieve their goals, and act as a liaison between departments as required. This is a position with regular in-office work required. Must be able to commute to the Stoney Creek office. Major Responsibilities (this is not an exhaustive list of duties to be performed) Provide direct operational, administrative and project coordination support to the Projects Director, assisting with day-to-day management activities required to support successful execution of the Professional Services portfolio. Support the Project Director in monitoring project schedules, deliverables, budgets, deadlines, and key milestones across active projects, helping maintain visibility on overall project performance and resource planning. Coordinate project control activities on behalf of the Project Director, including maintaining project tracking systems, compiling status updates, monitoring project progress, and escalating issues requiring leadership attention. Support the development, implementation, and ongoing maintenance of the organization’s Quality Management System (QMS), ensuring internal procedures, standards, and documentation requirements are consistently maintained. Act as the primary coordinator for quality management administration, supporting internal compliance with quality procedures and helping ensure project delivery processes are consistently followed across the Professional Services team. Coordinate internal quality assurance and quality control review processes, helping ensure technical deliverables, reports, and client submissions are reviewed for consistency, completeness, and alignment with company standards prior to issuance. Manage project document control systems, including document formatting, version control, review workflows, transmittals, records management, and maintaining organized project documentation across all active assignments. Track project deliverables across project team members to support timely completion of assignments and assist the Project Director and VP of Engineering in maintaining accountability to project schedules and client commitments. Prepare and maintain project controls reporting, dashboards, and operational summaries for leadership review, supporting project oversight, forecasting, and management decision-making. Support tracking of project opportunities, proposals, and active business development leads, maintaining accurate internal records to assist leadership with growth planning and resource forecasting. Coordinate and administer internal technical training and knowledge-sharing initiatives for the Professional Services team, ensuring regular tutorial sessions and professional development activities are planned and executed consistently. Manage scheduling, organization, and administrative coordination of recurring internal training and tutorial programs, working with technical staff and subject matter experts to support knowledge development across the team. Support onboarding and internal staff development initiatives by maintaining training resources, process documentation, templates, and internal standards that improve team consistency and knowledge transfer. Identify opportunities to improve internal project delivery processes, administrative workflows, quality management procedures, and operational systems, bringing forward recommendations to leadership for implementation. Provide coordination support between compliance, engineering, operations, and project management teams to improve communication, project consistency, and overall operational efficiency. Perform additional administrative, project support, and operational responsibilities as assigned by the Project Director in support of the continued growth and development of the Professional Services business. Required Knowledge, Experience, & Competencies Minimum of 3 to 5 years of experience in project coordination, project controls, or project management support roles, including experience supporting projects with field, technical, or operational components. Experience in water and wastewater management, utilities, engineering, or related technical environments is preferred. Knowledge of Ontario drinking water and wastewater regulations (MECP) or equivalent regulatory frameworks is considered a strong asset. Post-secondary education in a relevant discipline (ideally STEM-related programs); relevant demonstrated abilities and experience will also be considered. Experience supporting project-based work, including coordination of schedules, deliverables, tracking of activities, and reporting. PMP certification or working knowledge of project management principles is required; practical application in project coordination or technical environments is an asset. Knowledge of project controls processes including scheduling, deliverable tracking, reporting, and maintaining project documentation. Experience supporting quality management systems (QMS), standard operating procedures (SOPs), or structured compliance frameworks is considered an asset. Experience with administrative project functions including document control, reporting, meeting coordination, and maintaining accurate project records. Detail oriented and capable of maintaining accurate records, tracking deliverables, and supporting quality documentation and document control processes. Capable of supporting project tracking deliverables, monitoring progress, and escalating issues to the Project Director as required. Strong communicator with the ability to work effectively with technical teams, engineers, project managers, and leadership in a professional environment. Capable of coordinating internal training sessions, technical tutorials, or knowledge-sharing activities for technical or engineering teams. Very strong proficiency in Microsoft, including Excel, Outlook, Word, Power Point, and Teams, and ability to learn to use other scheduling, time and expense tracking applications. Must possess at minimum, a valid G2 driver’s license to maintain a clean driving record. Exceptional organizational and time management skills and ability to prioritize work to meet deadlines despite frequent interruptions. Hours of Work and Travel Expectations This is a full-time position, 40-hours per week, with regular in-office work required. Must be able to commute to the Stoney Creek office. Regular business hours (8:30 am to 5 pm); may be expected to occasionally work outside of regular business hours to meet client needs. Travel throughout Ontario, as needed, and occasional travel to other parts of Canada. What We Offer An annual salary ranging from $70,000 - $80,000, commensurate with qualifications and experience.
