2–5 years in client service, administrative coordination, or financial services operations. Experience supporting advisors or professionals in a fast-paced environment preferred.
ABOUT THE ROLE
Every great client experience starts with someone who makes sure nothing falls through the cracks. As our Client & Advisor Concierge, you are the front door of SPM's client service operation — the first point of contact for advisors and clients, the person who turns an incoming request into a clearly defined, fully documented task, and the coordinator who keeps large and complex cases moving. You will prepare advisors for client meetings, manage reminders and follow-ups, and quarterback communication among clients, advisors, our processing team, and carriers. Your home base is EquiSoft, our CRM and workflow platform, where accurate, complete task records are the standard you set for the whole team. This is a coordination and communication role, not a sales role — you'll handle administrative service work within a clearly defined scope, with all advice and suitability questions escalated to the sponsoring advisor.

WHAT YOU’LL DO
- Serve as the first administrative point of contact for clients and advisors on service requests and inquiries.
- Receive, review, and clarify incoming requests so every task is complete and accurate before processing begins.
- Create and maintain tasks in EquiSoft with clear titles, detailed notes, and proper documentation.
- Prepare advisors for client meetings — gather information, generate reports, and flag outstanding items.
- Manage reminders, future-dated tasks, and follow-ups with advisors, clients, and carriers.
- Quarterback large and complex cases, keeping all stakeholders informed and activities on track.
- Handle simple, urgent administrative requests directly when that's faster than the queue — and escalate technical processing to our Client Service Specialists.
WHAT YOU BRING
Must-haves
- 2–5 years of experience in client service, administrative coordination, financial services operations, or a related environment.
- Post-secondary diploma in Business Administration, Office Administration, Financial Services, or a related discipline (or equivalent experience).
- Excellent verbal and written communication, and the judgment to ask the right clarifying questions.
- Strong organizational and task management abilities with high attention to detail.
- Comfort managing competing priorities with frequent interruptions.
- Discretion and care in handling sensitive personal information, consistent with PIPEDA and firm privacy standards.
- Proficiency with Microsoft Office and CRM systems.
Nice-to-haves
- Experience with EquiSoft or a similar workflow management platform.
- Additional training in financial services administration or client service operations.
- LLQP and/or mutual fund licence — an asset, not a requirement. We'll fund a licensing path in your first year if you want one.
