JOB SUMMARY:
This position reports to the Director of the Legal Department.
Responsible for carrying out a variety of administrative and clerical support functions that require a thorough knowledge of the terminology, procedures and practices in a legal environment with a significant degree of independence and accountability for results. Duties include document preparation, filing, and routing of general office correspondence for the Legal Department.
EDUCATION:
- High School graduate or equivalency.
- Must have post-secondary education. Preference will be given to candidates graduating from an accredited business/administrative assistant program or hold a diploma in Legal Secretarial or Paralegal at a recognized educational institution.
EXPERIENCE:
- Must have a minimum of three (3) years experience in a legal environment, familiar with the management of a law office and have at least two (2) years experience with the Land Titles System.
LANGUAGE:
- The ability to communicate (oral and written) in both official languages is a requirement (English and French). As per provincial language proficiency standards, fluency is determined to be at the Advanced (3) level.
KNOWLEDGE, SKILLS AND ABILITIES :
- Must have a minimum typing speed of 60 wpm
- Must have extensive computer knowledge of spreadsheets and databases, word processing, Windows applications, and email. Example: Microsoft Outlook/Excel/Word/PowerPoint
- Must have excellent time management skills; judgment; attention to detail; the capacity to prioritize by assessing situations to determine urgency; ability to develop a work schedule, set goals, create / implement action plans and monitor progress towards goals; and ability to make clear, timely decisions.
- Must have excellent oral and written communications skills.
- Must be familiar with the operation of all office equipment to include fax, photocopier and telephone systems.
- Must be willing to upgrade skills as required by changes in the workplace.
- Must have a high degree of accuracy and concentration especially when faced with a busy environment.
- Must use a high degree of customer service skills in dealing with contacts.
- The incumbent must have good organizational skills and possess a high degree of initiative, judgment, tact and ability in carrying out the duties described, as the individual works with minimal amount of supervision. A high degree of accuracy is required, requiring close attention to detail.
CONTACT:
- Has frequent contact with internal and external customers. Requires courtesy, diplomacy and tact for exchanging information through calls from the general public, media, civic administration, members of council, heads of agencies, commissions, and local, national or international organizations.
- Must use judgement in dealing with public. Must be professional and neat in appearance and pleasant with incoming calls and visitors. Confidentiality is essential.
SUPERVISION:
- Must be able to work with minimal supervision and make decisions that reflect the established objectives of the department. Also requires initiative or ingenuity to resolve frequent minor problems in situations not always covered by established practices, procedures or policies.
- No requirement to supervise other employees; however, may be required to provide limited advice and guidance to new employees on occasion.
CONDITIONS OF WORK:
- The working conditions are in concurrence with the CHEA/PSAC Local 60200 Collective Agreement.
