Function
Please note this position may be based in either Montreal, Ottawa or Toronto.
We are looking for an enthusiastic, motivated professional to join CBC/Radio-Canada’s Legal Services team as an Administrator in the Corporate Secretariat. Your primary function will be to plan, organize,co-ordinate and ensure the seamless execution of Board of Directors and committee meetings, both in person and virtually.
Your role:
- Plan and co-ordinate all logistics for Board and committee meetings, including travel arrangements, accommodations and catering.
- Consult with internal and external stakeholders to identify technical requirements, including room rentals, equipment needs and related services.
- Negotiate with vendors to secure services that meet the needs of the Board and its committees, identifying the most appropriate options.
- Travel to Board meetings to provide on-site support and ensure all sessions and related activities run smoothly.
- Prepare budget estimates and co-ordinate all necessary administrative tasks.
- Maintain effective professional relationships with designated internal partners, senior executives, Board members and external collaborators.
- Draft, co-ordinate and distribute communications to Board members as required.
- Respond to specific requests from Board and Senior Executive Team members.
- Provide administrative support to the Corporate Secretary and other directors as needed (calendar management, expense reports, etc.).
- Manage and ensure the proper retention of all relevant Board documentation.
- Maintain a thorough understanding of internal rules and policies regarding corporate events.
This role is a hybrid work arrangement. Work schedule to be discussed with Hiring Manager according to the guidances defined by the department.
We are looking for a candidate with the following:
- Three (3) to five (5) years of experience organizing complex meetings and events, including collaboration with senior executives.
- Bachelor’s degree in communications or equivalent experience.
- Bilingualism (English/French, reading/writing/speaking).
- Proficiency with various office technology, including, Google Workspace and Zoom.
- Resourcefulness, sound judgment and ability to anticipate potential challenges.
- Ability to work effectively in a team environment to achieve organizational goals.
- Ability to adapt to rapidly changing priorities and to work under pressure with minimal supervision.
- Strong organizational skills.
- Ability to establish interpersonal relationships.
- Flexibility and the ability to thrive in a diverse work environment.
- Discretion, tact and diplomacy.
- Thoroughness, attention to detail and confidentiality.
- A solid understanding of CBC/Radio-Canada’s structure and operations (a significant asset).
- Availability for occasional multi-day travel and flexibility to work outside standard business hours when necessary.
