About the role
We are looking for an experienced and qualified professional for the Administrative Officer position, who covers both the administration and bookkeeping functions of our business.
Main duties include but not limit to:
- Open and distribute incoming mails and emails and co-ordinate the flow of information internally and with other teams and organizations.
- Schedule and confirm appointments and meetings and work schedules, internally and externally.
- Coordinate with the nurseries to search for plants that meet Landscape Architecture’s requirements.
- Prepare bidding documents.
- Order office supplies and maintain these inventory.
- Answer telephone and electronic enquiries and relay telephone calls and messages.
- Set up and maintain manual and computerized information filing systems.
- Establish and fine-tune office procedures.
- Greet visitors/clients, ascertain nature of business and direct visitors to appropriate person/team.
- Record and prepare minutes of meetings.
- Arrange travel schedules and make reservations
- Keep financial records and establish, maintain and balance various accounts using QuickBooks Desktop.
- Prepare invoices and manage payments.
- Post journal entries and reconcile accounts, prepare trial balance of books, maintain general ledgers and prepare financial statements.
- Calculate and prepare cheques/direct deposits/electronic transfers for payrolls and for utility, tax and other bills.
- Complete and submit tax and payroll remittance forms, workers' compensation forms, pension contribution forms and other government document.
- Prepare other statistical, financial and accounting reports.
- Successful candidate must hold a diploma, or higher credential, in business management or accounting/finance and require 2 years in the same job or 3 years as an Administrative Assistant, or preferably both, administration or/and bookkeeping positions, ideally in construction/ landscaping industry. He or she should be very attentive to details, diligent and result oriented.
