About the role
Location Administrator
Onoway, AB
Start Date: ASAP
Crop Management Network is seeking a highly organized, customer-focused, and team-oriented Location Administrator to join our Onoway team.
This role is primarily office and administration based and serves as a key support position to the sales and operations team at CMN. The Location Administrator is responsible for maintaining accurate records, supporting inventory and accounting processes, coordinating customer transactions, and ensuring the day-to-day administrative functions of the location operate efficiently.
During peak operational periods, this role will also support the operations team as required. Approximately 15% of the role may involve operational support duties including operating a forklift, receiving and shipping product, blending fertilizer, and assisting with fertilizer inload and outload activities at the facility.

Key Responsibilities
Customer Accounts & Administrative Support
- Prepare load-outs, invoices, credit memos, and monthly customer statements
- Post customer payments and manage work orders and prepayments
- Maintain confidential sales and credit information
- Ensure pricing and margin alignment with the Sales Team
- Investigate and resolve account discrepancies
- Maintain customer tiered pricing under management guidance
- Process monthly interest charges
- Prepare reports, spreadsheets, letters, and internal documents
- Maintain filing systems and office organization
- Order and maintain office supplies
- Process deposits through Deposit Edge and Tronia
- Complete monthly reconciliations for cheque, FCC, and credit card clearing accounts
- Assist with documentation and reporting as required
- Answer phones and greet customers professionally
- Support walk-in customers and sales inquiries as required
- Coordinate office communication and vacation coverage
- Participate in location and safety meetings
- Support daily coordination between office, sales, and operations teams
- Exercise sound judgment and professionalism in daily decision-making
Inventory Support
- Enter inventory receipts upon product delivery
- Complete inventory counts and assist in resolving discrepancies
- Process returned deposits for customers and suppliers
- Review monthly inventory values for accuracy
- Complete inventory write-offs with management approval
Operational Support
- Support the operations team during peak periods and seasonal demand
- Operate a forklift as required
- Receive and ship product from the warehouse
- Assist with fertilizer blending activities
- Support fertilizer inload and outload activities at the facility
- Assist with maintaining an organized, clean, and safe warehouse and yard environment
Qualifications
- High school diploma required
- Business or administrative training considered an asset
- Agricultural industry experience, ag student background, or ag education considered an asset but not required
- Previous administrative, accounting, or office experience preferred
- Strong understanding of office procedures and customer service
- Proficient in Microsoft Office including Word, Excel, and Outlook
- Strong organizational, multitasking, and communication skills
- Ability to work independently and as part of a team
- Strong attention to detail and follow-through
- Professional, confidential, and reliable work habits
- Knowledge of sales processes and inventory systems considered an asset
- Forklift experience considered an asset
Work Environment
- Primarily office and administration based
- Seasonal operational support required during peak periods
- Fast-paced environment with multiple priorities and time-sensitive deadlines
- Extended computer and telephone use
- Ability to sit, stand, walk, bend, twist, and lift up to 35 lbs
- Overtime required during spring and peak operational seasons
- Ability to maintain professionalism in high-volume or stressful situations
Special Requirements
- Valid Class 5 driver’s license
- Ability to meet company policy requirements including criminal background check and driver’s abstract if required
