As a Concierge, Project Spaces, you’ll support the day-to-day operations of our agile workspaces by coordinating meeting room bookings, managing workstation assignments, and helping maintain spaces that are organized, functional, and ready for use. You’ll work closely with employees, senior leaders, project teams, technology vendors, food service providers, and internal partners to ensure workspace needs are addressed with care and efficiency. In this high-touch, client-facing role, you’ll act as a trusted point of contact for workplace questions, space logistics, and service coordination. You’ll also help shape how employees experience the office by creating a professional, welcoming environment and ensuring every detail is thoughtfully managed. How you'll succeed Meeting Room Coordination - Manage end-to-end meeting room bookings, including requests, confirmations, changes, cancellations, and conflict resolution. Ensure rooms are ready for use by coordinating audiovisual and technology support, seating configurations, accessibility needs, and post-meeting resets. Workstation Administration - Maintain dedicated workstation assignments for teams by tracking seat inventory, locations, ownership, start and end dates, temporary swaps, visitor seating, and overflow arrangements. Coordinate workstation bookings to ensure alignment with team allocations and space guidelines. Onboarding and Offboarding Support - Coordinate workstation onboarding activities, including seat assignments, access requests, equipment readiness, and orientation details. Support offboarding by releasing seats back to inventory, coordinating access removal, confirming asset returns, and initiating reset or cleaning requests as needed. Workplace Operations and Service Support - Act as a key point of contact for day-to-day office logistics, including ad hoc space requests, vendor coordination, meeting and event support, and workspace supply and amenity management. Respond to questions and requests promptly to help maintain a smooth and positive workplace experience. Reporting and Insights - Produce and share a monthly dashboard that summarizes meeting room usage, workstation occupancy, onboarding and offboarding activity, open issues, and service trends. Maintain accurate data and provide insights that support space planning and operational decision-making. Workplace Experience - Bring strong knowledge of workplace technology, meeting rooms, multi-purpose spaces, and shared environments to confidently support employees and promote the workplace strategy program. Assist with minor event planning and meeting space setup, including tasks that may require lifting up to 50 lbs. Who you are You're passionate about helping others. You have relevant experience. You bring experience in workplace services, office operations, hospitality, facilities coordination, or a related client-facing environment.
