Location: Remote Position Type: Unpaid Internship Schedule: Part-time and flexible Compensation: Unpaid; offered in exchange for hands-on experience, mentorship, portfolio development and exposure to artist management and music operations About the Role An independent recording artist is seeking a highly organized, proactive and resourceful Personal Assistant Intern to support the administrative and operational side of a growing music career. This internship is ideal for a student, recent graduate or early-career professional interested in music, entertainment, artist management, marketing or creative project coordination. The selected intern will gain practical experience supporting release campaigns, managing schedules, researching opportunities, coordinating communications and helping organize the day-to-day activities behind an independent artist brand. This is not a passive shadowing role. The intern will be given meaningful responsibilities and should be comfortable working independently, following up with contacts and keeping multiple projects organized.
Key ResponsibilitiesCalendar and Schedule Management
Help manage and organize personal, music and professional calendars. Schedule studio sessions, rehearsals, meetings, content shoots, performances and appointments. Identify scheduling conflicts before commitments are confirmed. Ensure music commitments do not conflict with personal or professional obligations. Maintain a weekly overview of upcoming priorities, deadlines and appointments. Send reminders and organize relevant links, locations and materials.
Music Opportunities and Showcase Applications
Research showcases, festivals, performance opportunities, conferences and artist development programs. Prepare and submit applications using approved artist materials. Track application requirements, fees, deadlines, submission dates and responses. Follow up with organizers regarding application status and next steps. Maintain an organized opportunity and submission tracker.
Playlist, Radio and Media Pitching
Research relevant independent playlists, curators, DJs, blogs, radio stations and music discovery platforms. Pitch approved releases for playlist, radio and media consideration. Track all submissions, contact information, responses and follow-up dates. Support platform pitching deadlines, including Spotify for Artists submissions. Ensure pitches are tailored to the artist’s genre, audience and release strategy.
Email and Relationship Management
Help organize and monitor music-related email correspondence. Draft professional emails and follow-up messages for approval. Maintain communication with collaborators, producers, promoters, photographers, videographers, dancers, media contacts and other industry professionals. Follow up on unanswered messages, pending opportunities and outstanding deliverables. Flag urgent or high-priority communications.
Content Scheduling and Posting
Maintain a content calendar across Instagram, TikTok, YouTube and other approved platforms. Schedule approved reels, stories, posts, short-form clips and promotional content. Confirm captions, credits, tags, links and scheduled posting times. Coordinate with editors and creative collaborators to ensure content is delivered on time. Track posted, scheduled and unused content assets. Help maintain a consistent content schedule.
Grants and Funding Administration
Research relevant music grants, artist funding programs and sponsorship opportunities. Maintain a grant calendar with opening dates, deadlines and application requirements. Follow up on active grant applications and outstanding documents. Organize supporting materials such as budgets, invoices, receipts, bios, music links and project plans. Track grant reporting requirements and upcoming deliverables.
Project and Deliverable Tracking
Maintain task lists for releases, music videos, rehearsals, performances and campaigns. Follow up with team members regarding upcoming or overdue deliverables. Track mixes, masters, artwork, video edits, invoices, contracts and promotional assets. Provide regular updates on completed, pending and urgent tasks. Help ensure deadlines are not missed.
Qualifications
Strong organizational and time-management skills. Excellent written communication. Reliable, responsive and detail-oriented. Comfortable managing calendars, email and multiple deadlines. Able to follow up professionally and persistently. Familiarity with Google Calendar, Gmail, Google Drive, Canva and spreadsheets. Comfortable using Instagram, TikTok and YouTube. Interest in music, entertainment, marketing or artist management. Able to handle confidential and unreleased information with discretion. Comfortable working independently in a remote environment.
Preferred Experience
Currently studying or recently graduated from a program related to music business, communications, marketing, media, business administration or event management. Previous internship, volunteer or administrative experience. Experience with playlist pitching, social media scheduling, grants or event applications. Familiarity with Spotify for Artists, YouTube Studio and content scheduling tools. Interest in Afrobeats, Afro-pop, R&B, pop or global music.
