The Dental Receptionist plays a crucial role in ensuring the smooth and efficient operation of a dental office by managing front desk activities and serving as the first point of contact for patients. This position requires handling patient inquiries, scheduling appointments, and managing insurance claims with accuracy and professionalism. The Dental Receptionist is responsible for maintaining patient records, processing payments, and coordinating communication between patients and dental staff. By effectively managing administrative tasks and providing excellent customer service, the receptionist contributes to a positive patient experience and supports the overall success of the dental practice. This role demands strong organizational skills, attention to detail, and the ability to multitask in a fast-paced healthcare environment.
Minimum Qualifications:
- High school diploma or equivalent.
- Proven experience as a receptionist or administrative assistant, preferably in a dental or healthcare setting.
- Familiarity with dental terminology and insurance claim processes.
- Proficiency in using dental practice management software and standard office equipment.
- Strong communication skills and the ability to handle heavy phone usage professionally.
Preferred Qualifications:
- Post-secondary education or certification in dental office administration or a related field.
- Experience with Canadian dental insurance systems and billing procedures.
- Bilingual abilities, particularly in English and French, to serve a diverse patient population.
- Knowledge of privacy laws and regulations related to patient information in Canada.
- Customer service training or experience in a healthcare environment.
Responsibilities:
- Greet patients warmly and manage patient check-in and check-out processes efficiently.
- Schedule, confirm, and reschedule patient appointments using dental practice management software.
- Process insurance claims accurately, verify patient insurance coverage, and follow up on outstanding claims.
- Post payments and handle billing inquiries, ensuring all financial transactions are recorded correctly.
- Answer a high volume of phone calls promptly, addressing patient questions and directing calls to appropriate staff.
- Maintain and update patient records, ensuring confidentiality and compliance with privacy regulations.
- Operate office equipment such as copy machines and fax machines to support administrative tasks.
- Coordinate with dental professionals to communicate patient needs and appointment details effectively.

Proficiency in posting payments and handling billing ensures that financial transactions are completed efficiently and errors are minimized.
