Reporting to the Senior Pre-construction Manager, we’re looking to add a Proposal & Marketing Coordiantor to our team in Winnipeg, MB. The Proposal and Marketing Coordinator will use their expertise in writing, editing and publishing to support the development and production of business proposals as well as reports, presentations, and other marketing materials while supporting team members in their tasks in a deadline driven environment.
Responsibilities:
- Support business development and estimating teams in the creation and submission of high-quality content to clients – build response templates, compile relevant content, create interview and presentation materials and coordinate print production of response materials in accordance with bid requirements
- Develop responsibility matrix and hold parties accountable for deliverable deadlines
- Arrange, document, and lead proposal meetings
- Collect the necessary information to develop a proposal with various collaborators and stakeholders to develop tailored submission content until final submission
- Interview subject matter experts to gather or verify information
- Assist in creating, maintaining and updating proposal content, including professional resumes, project profiles and company project experience in CRM database
- Compile, write, edit, and proofread document material to ensure quality, accuracy, clarity and consistency with Company guidelines while contributing expertise in creative writing and design
- Establish priorities and target dates in order to meet non-negotiable project deadlines
- Participate in strategic discussions to determine the best approach and winning strategy for pursuits
- Support marketing and communications activities, including content creation for internal and external audiences (newsletters, brochures, presentations, handouts, and other collateral) and event planning and coordination
- Aid in posting project updates, profiles, text, images on the District SharePoint News page
- Assist in creating social media content (LinkedIn, Instagram, Twitter, etc.)
- Support corporate marketing and communications initiatives as required
- Incorporate a continuous improvement mindset post submission:
- Track proposals – submissions, successes, opportunities for improvement
- Set-up and participate in debriefs and document feedback
- Act as the single point of contact for all RFP, RFPQ, Expressions of Interest (EOI), and other such communications
- Create new and update employee resumes and project sheets as needed
- Ensure consistent look and feel for all submittals
- Ensure proposal quality and compliance
- Archive information and keep marketing database up to date; and,
- Maintain marketing information files, obtain project information at start of the project and create project folder. Manage and update this information as project progresses and upon completion
Qualifications:
- Degree or diploma in communications, publishing, marketing, journalism (related education or equivalent experience will be considered).
- 1-5 years demonstrated experience in a relevant field such as professional writing, technical writing, journalism, proposal writing, creative design, or marketing.
- Ability to clarify and write technical content and prepare marketing materials.
- Experience working with an engineering or construction firm is considered an asset.
- Excellent writing skills (including editing, grammar, style, spelling punctuation), editing, and proofreading skills for accuracy, quality, and messaging tailored to target audiences.
- Proficiency in Microsoft Office including Co-Pilot, and Adobe Creative Cloud Suite, specifically, Adobe InDesign and Photoshop with proven ability to learn new software programs quickly.
- Highly developed interpersonal, communication, and organizational skills.
- Print design experience using Adobe InDesign, as well as Illustrator and Photoshop, considered an asset.
- Ability to communicate effectively with a broad range of professionals at all levels of the organization.
- Ability to prioritize work to achieve tight deadlines on multiple projects simultaneously, deal with changing priorities.
- Excellent time management & organizational skills and be able to adapt to change.
- Excellent interpersonal relations, with ability to gain trust and respect of others and build relationships.
- Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail.
- Ability to work with minimal supervision.
- Creative, strategic, forward-thinking mindset.
- Ability to forge, grow and maintain positive relationships.
- Experience with a CRM system, Microsoft SharePoint or similar document management system is considered an asset.
