Position Summary
Under the leadership and direction of the Director of Education, the position of Education Office Manager is responsible for the daily administration of Education Programs and Services relative to the effective and efficient implementation of goals, objectives, vision and strategic plans of the First Nation.
Reporting Relationship
Works under the direction of the Director of Education.
ESSENTIAL FUNCTIONS
Areas of Responsibility:
Administration:
- Perform reception duties, including greeting visitors when needed.
- Plan, organize, and schedule meetings and presentations, including monthly staff meetings.
- Respond to public and program staff inquiries in a timely and respectful manner.
Assist the Director of Education with:
-
- Developing and implementing annual strategic planning objectives.
- Employee recruitment and orientation processes.
- Achieving program goals and objectives outlined in the strategic work plan.
- Monitor activities, projects, and services provided to community members.
- Maintain and update MFN education policies.
- Ensure motions from committee minutes and C&C ratifications are recorded and communicated to staff.
- Assist the Department Manager with school calendars and communication updates, including the MFN website and monthly departmental newsletter.
Prepare and manage contracts, tenders, and agreements:

- Bussing tenders, contracts, and bus route planning.
- Education service agreements with First Nations and related financial statements.

Prepare correspondence, minutes, reports, and other documents as directed.

Operate relevant computer software for program operations.
-
Develop and implement an individual annual work plan.
-
Schedule appointments and meetings with program staff when necessary.
-
Compile, copy, and distribute materials for meetings and committees.

Ensure accurate file management, including record maintenance.
-
Attend meetings as required.
Planning Responsibilities:
-
Plan and initiate community events promoting educational opportunities.
-
Prepare final reports based on reporting requirements.
-
Coordinate student-related activities aligned with program goals (e.g., Graduate Celebrations, Annual General Meetings).

Provide post-secondary support services.
Financials:
-
Prepare contracts regarding student tuition agreements, billing, service agreements for consultants, bussing contracts.
-
Liaison, develop proposals, seek funding when required for various education programs.
-
Assists in the preparation and updates of financial data and reports for the program.
-
Research and document funding opportunities for program development and delivery.
-
Assists DM and Finance in budget preparation and implementation, employee recruitment and orientation.

Maintain and monitor monthly school attendance and allowance records.
-
Distribute allowance to secondary students.

Prepares Nominal Roll and other ISC reporting requirements

Submits proposals and prepares funding reports to outside agencies as required

Review Education Service Agreements ensure enrollment status is aligned with invoicing.
Service Delivery:
-
Responsible for providing additional counseling and education advisory services to students from the elementary to post-secondary secondary levels of education.

Provide counseling services and referrals to students at the elementary and secondary levels.

Provide data pertaining to student successes and challenges
-
Assist students in locating off-island services
-
Provide transportation for students when necessary.

Liaison with community agencies such as Family Resources, CAS, Mental health, etc.…

Excellent leadership, communication, and interpersonal skills.

Ability to build strong relationships and work effectively in a team.

Proven ability to manage multiple priorities and meet deadlines.

Knowledge and/or experience with Anishinaabe language, culture, history, and customs.

Confidentiality: Must maintain confidentiality on all matters related to the Education Department.

Knowledge: Familiarity with office systems, procedures, and First Nation education issues.

Skills: Highly organized, able to prioritize, multi-task, and work well under pressure.

Some evening and weekend work may be required

Understanding and fluency in Ojibwe is an asset.

CRC Requirement: Criminal Record Check (must be within 30 days, original or certified copy).
Qualifications/Requirements
Minimum:
Post-Secondary Diploma in Business Administration, Counselling, or a related field with 5 years of relevant work experience.
Proficient in MS Office and Excel data entry.
Strong accounting experience.
Preferred:
Post-Secondary Degree in Business Administration, Public Administration, or Commerce.
Experience working within a First Nation education system.
