About the role
Job Summary & Requirements Position Summary :
Reporting to the Manager of Logistics, the Supply Chain Specialist is responsible for maintaining the accuracy and integrity of both physical and electronic inventories for the RVH Stockless (JIT) program, which supports the entire Health Centre. This role is also responsible for managing the alerts and recalls process for all medical and surgical products and equipment across the organization.
The Supply Chain Specialist manages the sourcing of substitute products for backordered items and ensures that all alternative product details are accurately entered into the Mohawk Medbuy and Cardinal Health systems, enabling the Logistics and clinical teams to maintain uninterrupted patient care. The role involves direct collaboration with the Logistics team and clinical units to identify product requirements for patient care and working closely with clinical departments and external vendors to ensure timely product availability.
Qualifications: Education:
- Secondary School Diploma
- Post-Secondary Diploma in a related field
Experience :
I. Related experience with extensive knowledge in an inventory or warehouse setting within a Healthcare environment.
Competencies:
- Demonstrated understanding of end-to-end supply chain processes.
- Product knowledge of medical surgical supplies an asset.
- Proficiency with computerized inventory management, scanning, and reporting systems.
- Proven ability to prioritize multiple tasks and meet deadlines in a dynamic work environment.
- Strong decision-making and problem-solving skills, with the ability to assess situations quickly and establish priorities in a fast-paced setting.
- Advanced computer proficiency, including the Microsoft Office Suite, with a strong emphasis on Excel.
- Excellent written and verbal communication skills.
- Demonstrated critical and strategic thinking skills with the ability to analyze information and develop effective solutions.
- Exceptional organizational, analytical, and planning abilities.
- Self-motivated with the ability to work independently while also contributing effectively as part of a team.
- Strong interpersonal and customer service skills, with experience building and maintaining positive working relationships.

Responsibilities:
- Monitor the Mohawk Medbuy/AllScripts system to ensure the accuracy of product and inventory information.
- Maintain appropriate physical inventory levels in Stores, ensuring product orders are placed, received, and replenished in a timely manner.
- Ensure accurate inventory records by creating requisitions for issues, transfers, and returns related to JIT and physical inventory within the Mohawk Medbuy system.
- Manage the end-to-end supply chain process for all Stores inventory, from requisition generation through to product placement on shelves.
- Monitor and communicate backordered items that may impact supply availability across the Health Centre.
- Source alternative products for backordered items, enter substitute product details into the Mohawk Medbuy/AllScripts systems, and place replacement orders as required.
- Collaborate directly with clinical departments to coordinate time-sensitive special-order items and ensure on-time delivery.
- Work in partnership with Professional Practice, IPAC, Risk Management, and clinical units to coordinate product recalls and identify appropriate substitute or replacement products.
- Collaborate with Risk Management and clinical units to investigate, respond to, document, and resolve product issues requiring supplier follow-up.
- Add and remove supplies for Stores and clinical units by completing load sheets and new item request forms within the Mohawk Medbuy system.
- Manage specialty medical gases for all clinical and facility needs, including oversight of the oxygen exchange program.
- Partner with Finance to monitor inventory reports and investigate, reconcile, and correct discrepancies.
- Ensure the efficient and accurate flow of product and pricing information between Cardinal Health and Mohawk Medbuy, including price updates, item changes, vendor code updates, and product discontinuations.
- Generate financial and operational reports and monitor the mail processing machine as required.
