About the role
CYTHERA ADMINISTRATIVE ASSISTANT (Human Resources)
The Administrative Summer Student will provide administrative and project support to the Human Resources team over an eight-week term. This role supports key HR initiatives including recruitment, onboarding and organizational initiatives, helping to ensure processes are organized, timely, and effective.
Working closely with the HR team, the position contributes to the preparation of documents, coordination of activities, and development of materials such as presentations and communications.
This opportunity provides hands-on experience in Human Resources within a non-profit setting, with exposure to key functions such as recruitment, onboarding, employee engagement, and other HR initiatives. You will build and strengthen your organizational, communication, and administrative skills while contributing to meaningful work in a supportive and inclusive team environment.
This position is funded through the Government of Canada’s Canada Summer Jobs program. To be eligible, applicants must be between 15 and 30 years of age at the start of employment, be a Canadian citizen, permanent resident, or a person to whom refugee protection has been conferred and be legally entitled to work in Canada with a valid Social Insurance Number.
ACCOUNTABILITIES

Provides administrative support to the HR team by completing data entry, filing, scanning, and other administrative tasks in accordance with established practices

Assists with preparing HR documents such as letters, forms, and onboarding materials using Microsoft Office 365

Supports the organization and maintenance of confidential HR files, ensuring accuracy and attention to detail

Assists with recruitment activities by posting job opportunities, scheduling interviews, and supporting candidate communication

Supports onboarding processes by preparing new hire packages, coordinating documentation, and assisting with orientation logistics

Helps track recruitment and onboarding progress to ensure timelines are met

Creates presentations, graphics, and supporting materials for a variety of Human Resources initiatives to support clear communication, engagement, and effective implementation across the organization

Assists with preparing internal communications and materials to support HR programs and initiatives

Provides general project support to the HR team as needed

Supports internal HR processes by assisting with meeting coordination, calendar scheduling, and preparation of materials

Assists with maintaining HR trackers and basic reporting as requested

Provides general administrative support and contributes to team priorities and projects
QUALIFICATIONS
Education, Training and Experience
- Currently enrolled in, or recently completed, a post-secondary program in Human Resources, Business Administration, or a related field
- Strong attention to detail and ability to manage information with a high level of accuracy
- Comfortable using Microsoft Office 365 (Word, Excel, Outlook, Teams, PowerPoint)
- Demonstrates professionalism and ability to maintain confidentiality
- Strong organizational and time management skills
- Clear and respectful communication skills and ability to work collaboratively
Shift/Schedule/Hours per week: 35 hours per week over a period of 8 weeks; for a total of 280 hours
Expected Start Date: ASAP
Wage/Salary: $20.25/hour
