About the role

As one of Canada's Best Managed Companies, Fresh Direct Produce is looking for a proactive pat-time Operations Admin Assistant to join our growing team!

We have a great opportunity for a multi-faceted Operations Admin Assistant to provide complex and comprehensive administrative support and be the liaison between our Operations team and our other departments. Reporting to the Operations Manager, you will perform daily administrative duties and participate in special projects, including some of a highly confidential nature; you will use your independent judgment and analytical abilities and exercise discretion and flexibility in work situations.

Shift Requirements: Sat, Sun, Mon – 7:00-3:30 PM

PRIMARY RESPONSIBILITIES include:
Administration

  • Provide administrative support to Operation Manager, and other department leaders as needed
  • Maintain and follow up on program businesses, including Pos, trucking bookings, order tracking, etc.
  • Provide front-end sales and relief duty coverage for Admin Team
  • Compose relevant letters, notices and departmental memorandums
  • Co-ordinate meetings: room booking, documentation, minutes taking
  • Maintain paper & electronic records and filing system
  • Arrangement of service calls as required for Operations repairs & maintenance

Reporting

  • To collect data and compile reports for Operation control purposes
  • To create spreadsheets and reports
  • Follow-up with incident reports, claims & traffic violations
  • Investigate the root cause of all warehouse mistakes

Miscellaneous

  • Assist with procedures set-up and implementation with Operation staff
  • Purchasing and inventory tracking of Operations equipment & supplies
  • Co-ordinate and facilitate training procedures and initiatives for Operations staff
  • Co-ordinate with various divisions within Operations Department and other departments
  • Provide support and involvement in Operations Projects, Lean Projects and company-wide events.

QUALIFICATIONS include:

  • University degree or College diploma ideal
  • Intermediate proficiency in Microsoft Office, particularly in MS Word and Excel
  • Minimum 1-2 years' experience in an administrative role
  • Experience with responding to correspondence and generating reports
  • Experience handling discretionary and confidential information
  • Knowledge of produce wholesale/distribution industry and/or Operational functions an asset
  • Typing 40-60 wpm

When we started, we were 11 people and two trucks serving our local community. Today we have grown to over 220 people and a fleet of 26 trucks that operate out of three distribution centers (two in Vancouver, one in Calgary). In order to deliver the best quality freshness to our customers, timing and conditions are critical. Our operations are supported by advanced data sensors and logistics systems to get things to where they need to go quickly; as well as large climate-controlled ripening rooms, for when things just need a little more time.
