Position Summary
Reporting to the Engagement Manager, the Student Engagement and Event Specialist supports the development, implementation, and evaluation of EPBC’s student engagement initiatives that connect people to post-secondary education and career information.
As part of the Marketing and Engagement team, the Student Engagement and Event Specialist is collaboratively responsible for reaching students in middle and high schools through engagement activites that promote and increase awareness of EPBC’s brand and services to support student learning and their transition to public post-secondary education in B.C.
The Student Engagement and Event Specialist works closely with the Marketing and Engagement team to ensure successful planning and operations of school engagement activities. This role is accountable for the administration and execution of EPBC’s school engagement activities, which includes planning, coordinating, and delivering middle and high school presentations; managing inventory, storage, and shipping of career event equipment and material for engagement activities; and building and maintaining positive relationships with school and school district contacts, including counsellors, teachers and adviors.
Given the collaborative nature of the Marketing & Engagement team, this role contributes to the overall development and implementation of the integrated marketing and engagement strategy for EPBC through the coordination of action-driven activities to ensure students, and their supporters, are supported as they plan, search, and apply to post-secondary in B.C.
Key Accountabilities
The following provides an approximate allocation of time for key accountabilities and a representative list of duties. From time to time, this position will be expected to undertake other duties and responsibilities as necessitated by its evolving position within the organization or the overall business objectives of the organization.
Collaborative Oversight
(10%)
· Collaborate with the Marketing & Engagement team to develop and implement department strategies, goals, and initiatives in alignment with EPBC’s strategic direction
· With oversight from the Director, Marketing & Engagement and the Engagement Manager, work with the Community Engagement Specialists to ensure appropriate resource allocation to support EPBC’s engagement activities
· Stay up-to-date and informed on BC post-secondary institution information
· Stay current with new and emerging tools and trends in engagement practice and work processes, and recommend ideas for integration with EPBC
· In consultation with the Marketing & Engagement team, ensure appropriate support is in place during absences
School Engagement Management
(70%)
· With oversight from the Director, Marketing & Engagement, and in collaboration with the Engagement Manager, determine an annual work plan for EPBC’s school engagement activities including planning, resource allocation, communication support, execution, and evaluation reporting
· Lead engagement activities to promote and showcase EPBC’s website, resources, and application services for post-secondary education through virtual and in-person sessions
· Act as key contact for school engagement activities, proactively building relationships with school and school district contacts, including counsellors, teachers and adviors
· Set objectives and provide reporting and debrief for engagement activities
· Research and identify opportunities to engage with schools in underserved or remote communities
· Represent EPBC at educational related events, such as education and career fairs, schools, and community events, to promote and increase awareness among students/applicants, supporters, post-secondary institution representatives, and community groups
· Respond to questions from students and follow up as necessary
· Manage the process to review, develop, and maintain relevant engagement content and scripts
· Support collateral and other materials for EPBC engagement that are customized for specialized populations and inclusive to all audiences
· Promote and create awareness of EPBC at events, working with the Marketing & Communications Specialist to leverage participation
· Develop and implement evaluation methods to effectively obtain and assess feedback. Identify gaps and opportunities and recommend improvements to engagement activities and support
Operational Support
(20%)
· Manage the inventory and storage for career event equipment and material. Conduct post-event equipment and material checks to confirm and record any lost or damaged items and required repairs
· Collaborate with the Career Event Lead to develop and maintain a structured process to manage career event equipment and material, including set up and take down
· Facilitate shipping of career event equipment and material for engagement activities
o Prepare and pack equipment, material, merchandise, and collateral items
o Organize and track shipments through mail companies (e.g. Purolator)
· Troubleshoot and problem solve engagement issues with team members
Competency Requirements
· A strong sense of initiative, with the ability to set priorities, follow workflows, and meet deadlines
· Strong organizational and project management skills with the ability to manage multiple priorities
· A focus on providing exceptional client service to EPBC staff and external stakeholders
· Ability to work collaboratively by building and maintaining positive working relationships with team members across EPBC and with external stakeholders
· Ability to apply problem-solving and analytical skills
· Ability to clearly communicate, both verbally and in writing, being mindful of your audience and their communication needs
· A keen focus on detail and accuracy
· Ability to be flexible and adapt to changing situations, anticipate needs and reprioritize tasks, and adjust to shifts in workload and task priorities
· Willingness to learn and adapt with technology and update professional knowledge and skills
Education, Knowledge and Experience
· A Bachelor’s degree with 1-3 years experience in a relevant field, or an acceptable combination of education, training, and experience
· Experience delivering interactive presentations and facilitating groups of all sizes
· Experience in building partnership and relationship management
· Related post-secondary education or government work experience is an asset
· Knowledge of career pathways for a wide range of academic, trades, and technical careers is an asset
· An understanding of the B.C. post-secondary system is an asset
· Proficient with MS Office, Adobe Acrobat and online communication tools
· Experience in providing accessible information and support through various channels, including verbal, written, and visual
· Class 5 BC valid driver’s license is required, and access to a vehicle for work is an asset

Financial Responsibility
This role has no financial responsibility or spending authority; however, it is accountable for coordinating event operational expenses for out of office engagement activities and ensuring travel and expenditures are managed within the policies and procedures established by EPBC and Simon Fraser University.
Working Conditions
This position is expected to have the normal working conditions expected of a professional office role. EPBC is currently offering the option for a hybrid work environment, with a combination of remote and in-office work. Additional working conditions include:
· Evening and/or weekend work will be assigned in lieu of regularly scheduled weekday shifts or may be assigned, on occasion, in response to critical issues
· Occasional travel throughout B.C. for in-person engagement activities and events
· Possible eye strain from the constant viewing of electronic displays (i.e. computer monitors)
· Standing for long periods of time during engagement activities
· Occasional lifting and transport of material or equipment weighing approximately 20kg
