Are you an organized, detail-oriented individual who thrives in a fast-paced healthcare environment? Join our team as a Booking Clerk in the Breast Clinic at Mount St. Joseph Hospital!
As a Booking Clerk, you’ll be at the heart of clinic operations, responsible for a wide range of tasks, including:
- Scheduling and Booking: Coordinating outpatient appointments and admissions by interviewing patients, collecting personal information, and entering details into the health information system.
- Patient Communication: Contacting physicians' offices, sharing or requesting information, and providing patients with pre-appointment instructions as outlined by clinic procedures.
- Administrative Support: Generating operational reports from clinic statistics. Handling clerical tasks such as typing, filing, and maintaining office supplies. Sorting and distributing mail and managing documents (photocopying, faxing, and scanning).
- Reception Duties: Answering calls, welcoming visitors, and assisting hospital staff. Directing inquiries to the appropriate personnel and providing routine information.
Work Schedule and Location:
This position is on-site at Mount St. Joseph Hospital. Successful candidates must be available 2-3 days per week, Monday to Friday, between 8:00 AM and 4:00 PM. Additionally, 2-3 weeks of full-time availability will be required for orientation at the start of the role.

What You Bring:
Education
- Completion of Grade 12.
- Two years recent related experience or an equivalent combination of education, training and experience.
Skills and Abilities
- Ability to keyboard at 40 wpm.
- Knowledge of medical terminology.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to organize work.
- Ability to operate related equipment.

Your Day to Day:
- Appointment Management: Schedules, books, adjusts, and cancels appointments for patients, including follow-ups, tests, and procedures. Provides patients with pre-appointment instructions.
- Coordination and Communication: Contacts doctors' offices, nursing units, and departments to request patient records and test results. Confirms appointments with patients and transmits medical information and test results to relevant parties.
- Patient Admission: Interviews patients to gather personal details, completes standard forms, enters information into systems, explains and obtains signatures on consent forms.
- Reception and Support: Answers calls, greets visitors, provides routine information, and escorts patients. Directs inquiries and messages to the appropriate personnel.
- File and Chart Management: Sets up, organizes, and maintains patient files, ensuring test results and required documents are included. Retrieves and reviews files for accuracy.
- Clerical Duties: Types correspondence, reports, and other materials. Handles data entry, photocopying, scanning, faxing, and meeting arrangements. Prepares OR booking packages when needed.
- Diagnostic Test Scheduling: Books appointments for diagnostic tests, such as Radiology or Lab, and provides instructions to patients.
- Downtime and Reporting: Manages downtime procedures and generates operational statistical reports by compiling data.
- Work Area Maintenance: Keeps the workspace clean and organized, following procedures for sanitizing equipment and surfaces.
- Other Duties: Assists with related tasks and projects as needed.
