Property Records Clerk for community services agency client, downtown Toronto.

Marberg Job Number: 2644.

Job Type: Temporary.

Initial Term: From August 11 2025 to October 3 2025, with possible extension.

Compensation: $32.43 per hour.

Regular Work Hours: From 9 am to 5 pm not including 1 hour unpaid lunch break, Monday to Friday (35 work hours per week). Summer hours from 8:30 am to 4:30 pm in effect to August 29.

Work Location: 100% onsite at client's downtown Toronto office, near TTC and with free parking available.

Position Reports To: Director.

Responsibilities Summary:

Proactively handle a precise, multi-step documents review, analysis, synthesis, tracking, reporting, compilation, issues resolution and records management process, for a portfolio of legal and financial documents related to property and real estate holdings, including deeds, titles, leases and contracts. Exercise excellent judgement in organizing documentation workflow in order to meet required deadlines and volume targets.

  • Independently sort, sift and organize documents to ensure an optimized scope of work and efficient documents review and reporting process.
  • Carefully read, review and interpret documents according to determined criteria.
  • Identify and resolve any inconsistencies, missing information or errors in documentation.
  • Extract and compile relevant data from various sources into coherent summaries. Draft concise, professional reports on findings related to property holdings and legal implications.
  • Additional documents review, analysis, summary and records management responsibilities as required.

Qualifications:

Education: Post Secondary Degree or Diploma in Legal Administration or similar discipline, or equivalent combination of education and work experience.

Preferred Work Experience: At least 2+ years of relevant experience in documents review and analysis.

Preferred Sector Experience: Property or Real Estate sector experience preferred.

Technical and Language Skills Requirements:

  • Advanced MS Excel skills including advanced spreadsheet and reporting tools to track property details, ownership and financial information (will be tested).
  • Superior reading comprehension, proofreading and attention to detail (will be tested).
  • Strong numeracy skills (may be tested).
  • Strong data entry skills (may be tested).
  • Excellent written English skills including advanced level business writing skills, and excellent spelling, grammar, proofreading and syntax (will be tested). Strong verbal English skills including professional telephone manners.

Task -Based Qualifications and Additional Attributes:

  • Familiarity with property and real estate holdings matters, and associated documentation and administrative processes.
  • Self directed, with ability to proactively determine and organize scope of work to meet quality deliverables and timelines.
  • Demonstrated ability to extract, analyze and summarize complex written information in a clear and concise manner.
  • Demonstrated record of professional conduct and character. Responsible, reliable and works to deadlines.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Advanced organizational, coordinative and time management skills, with the ability to prioritize tasks effectively, meet tight deadlines and work well under pressure.
  • Demonstrated ability to work well both independently and collaboratively, and in an advisory capacity, and liaise effectively with a wide and diverse range of internal and external stakeholders.

Additional Requirements:

  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work 100% onsite, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
