It frustrates you working with people who just seem to call it in with their jobs. You want to do a good job, for things to work well because that makes you feel good.

Our founder needs a smart, numbers-savvy partner to watch over our financial health—tracking cash flow, monitoring subscriptions, reporting anomalies, and helping ensure every dollar that goes out or doesn’t come in gets flagged and reviewed. This isn’t just bookkeeping—it’s financial operations management with strategic eyes.

With this role, you'll be the financial watchdog, ensuring things are running smoothly. You'll be working directly with our CEO to flag items that need her attention. In this role, you will play a crucial part in managing financial operations and ensuring the smooth flow of financial information within our organization. Your contributions will directly support our mission to empower businesses and drive innovation.

Why This Role Matters

Our founder is an innovator, not a numbers analyst. While we already have a Head of Finance and a bookkeeping structure in place, what we’re missing is someone to own financial operations from a daily and weekly lens.

We don’t want to be surprised by expenses, late invoices, or bloated tools we forgot we subscribed to. We need someone to watch our back financially, monitor cash flow and subscriptions, and make sure everything that goes out—or doesn’t come in—is flagged and handled with clarity.

This isn’t traditional bookkeeping—it’s financial stewardship with initiative.

What You'll Be Responsible For
You’ll start small—then grow your scope as you prove your value.

Starting responsibilities:

  • Monitor, review, and flag irregularities in expenses, subscriptions, and vendor billing
  • Help track contractor performance vs. pay and notify leadership when out of alignment
  • Organize contractor pay data and payment schedules
  • Identify cost-saving opportunities across tools and services
  • Review and track accounts receivable (you won’t collect payments, but you’ll ensure visibility and timely escalation)
  • Prepare weekly financial status reports (cash flow, budget vs. actuals, red flags)
  • Report weekly to Melodie (CEO) + collaborate with Head of Finance

Evolving responsibilities (2–6 months):

  • Take ownership of reconciliation process alongside head of finance
  • Take over payroll processing
  • Analyze project profitability and cost breakdowns
  • Recommend improvements to financial workflows, budget structure, or reporting

  • Subscriptions, tools, and services are reviewed, right-sized, or canceled
  • Contractor payments align with contribution and outcomes
  • Reports are delivered clearly and consistently—without follow-up required
  • The CEO has confidence in our financial visibility and can make smart, strategic decisions

  • Highly autonomous, never waits for permission to solve a problem
  • Deeply comfortable in Xero + GSheets and eager to adopt Profit First
  • Able to organize chaos into clarity—and explain it simply to a CEO
  • Treats the company’s money like your own: mindful, strategic, and protective
  • Not a CPA or CFO, but a watchdog with heart, brains, and numbers sense

Requirements

  • Bachelor's degree in Finance, Accounting, or a related field preferred. (Experince doing the work is also acceptable)
  • Strong analytical skills with attention to detail.
  • Excellent communication skills for effective collaboration across teams.
  • Proficiency in Xero and Microsoft Excel is an asset.
  • Ability to work independently and manage multiple tasks efficiently without being micromanaged. You need to be able to manage yourself and your work.
