The ideal candidate will be confident, professional, optimistic and energetic, must be customer service focused and be committed to our organization and values. The Property Clerk must exercise tact and diplomacy when dealing with CHC customers and represent CHC in a positive manner.

As a member of the district team and working under the supervision of the District Manager, the Property Clerk is responsible for a variety of duties including responding to customer inquiries, by phone and in person at the site office, as well as administrative and clerical duties. The Property Clerk presents a positive and professional image of the organization to all tenants, agencies, stakeholder contacts and other contacts.

Duties and Responsibilities:

  • At the assigned site office(s), the Property Clerk enters and maintains resident data in our “in house” property management database.
  • Prepares interim rent calculations and lease charges, prepares a variety of correspondence, issues purchase orders and work orders for maintenance requests.
  • Accepts payments as designated and enters batch information into our Yardi Property Management software.
  • Other duties include liaison with tenants, resolving minor tenant inquiries, preparing reports as requested, filing, and initiating follow-up procedures under the general direction of the Manager.
  • Duties may also include offering vacant units up to and including lease signing, covering assigned site office and/or providing backup coverage to alternate site offices as assigned and backup for the rent supplement entries if needed.
  • Allocating vacant rent geared to income units and rent supplement units by offering applicants from CHR or transferring tenants in accordance with the Corporation’s Transfer Policy.
  • Perform clerical support duties where required.
  • Other duties as assigned from time to time.

Requirements:

    • High school graduate or equal/equivalent formal education (GED).
    • General clerical and administrative experience with proven knowledge of general office procedures and equipment.
    • Data entry skills and experience using Microsoft Office products (Outlook, Word, Excel)
    • General mathematical skills for understanding rent calculations, ledgers etc.
    • Customer Service and Customer Relations experience; with proven tact and patience in dealing with diverse clientele and visitors.
    • Experience handling confidential or sensitive data and knowledge of applicable privacy laws.
    • Ability to work in a fast-paced environment, meeting deadlines, ensuring accuracy while applying company policies and procedure; time management skills, with ability to multitask and prioritize with minimal supervision.
    • Proven ability to communicate effectively by phone, in person, and in writing to assist customers and resolve inquiries.
    • Familiarity with Corporate Policies, primarily within tenant administration and an awareness of Housing Services Act, Residential Tenancy Act, Old Age Security/GIS, CPP, OSAP and Ontario Works, would be an asset.
    • Possession of a valid Class G Ontario Driver's License, valid insurance, and access to a personal vehicle for work purposes (mileage is compensated).

This is a Bargaining Unit position. You will be required to work in a smoke-free environment.
