Role Overview

We are seeking a customer service champion to join our team as a UConcierge Ambassador. This role entails creating a warm, inviting atmosphere and delivering exceptional service from check-in to post treatment follow-ups. Serving as the main point of contact for individuals interested in cosmetic treatments, particularly cosmetic and elective clients, you will ensure an exceptional experience at every touchpoint. As a UConcierge Ambassador, you’ will not only handle transactions, but you will also provide valuable insights into treatment options, ensuring a seamless and enjoyable experience. Your friendly and welcoming approach will leave a lasting impression, cultivating client loyalty and satisfaction.

Role Objectives

  • Welcome and acknowledge guests according to company standards, initiating a memorable guest experience, and proactively address their needs while demonstrating genuine appreciation.
  • Build personal connections with guests both in-person and over the phone, striving to exceed their expectations.
  • Answer phones in a prompt and courteous manner, recording and processing all guest calls, messages, requests, preferences, questions, or concerns.
  • Accurately process all guest transactions using established company policies and procedures.
  • Communicate effectively using professional language and etiquette, promptly reporting any outstanding guest requests or issues to management.
  • Take action to solve guest problems/complaints using appropriate service recovery guidelines.
  • Foster positive working relationships with team members, supporting common goals and addressing employee concerns appropriately.
  • In a professional and confidential manner, act as a trusted contact for all guests. Help them with anything from billing to product or treatment knowledge, and make team leads or managers aware of any issues that arise.
  • Maintain a professional appearance as a brand ambassador.
  • Identify and recognize our VIPs (Very Important Patients) through sales metrics and other related data. Manage client referrals and patient information database.
  • Assist with appointment bookings, reminders and follow-up calls/messaging and continuously support medical and aesthetic teams with patient tasks.
  • Proactively engage clients about new products, programs, and services.
  • Ensure clinic cleanliness, organization, and stock of food and beverage items.
  • Conduct daily inventory of food and beverage items needed throughout the clinic.
  • Participate actively in monthly product and customer service training.
  • Demonstrates attention to detail, maintaining awareness of daily schedules and assisting team members as needed.
  • Adhere to quality assurance standards and safety protocols, including the highest standards and safety protocols, including the highest standards of patient care.

Role Qualifications

  • 2+ years of clerical or customer service work experience (preferred)
  • MOA Certificate (preferred)
  • Proficiency in Microsoft Office Suite programs
  • Strong verbal and written communication skills
  • Availability to work during peak hours for cosmetic and spa treatment bookings
  • Flexible schedule, including weekends and evenings
  • Excellent time-management skills
  • Reliable, punctual, and organized with a friendly and professional demeanor
  • Self-motivated and disciplined
  • Team player with a strong work ethic
  • People-oriented with attention to detail and problem-solving skills
  • Knowledge of non-surgical medical aesthetic procedures and skincare products is an asset
  • Familiarity with MedAccess EMR, MindBody, Textline, and RingCentral is a plus
