Executive Assistant to Board & Corporate Secretary

Annual salary: $ 59,700.00 - 75,500.00

What you'll do

Duties:

We are looking for proactive self-starter who will work with the Board Chair and Corporate Secretary’s Office and will take

an active role in supporting BC Hydro’s Board of Directors and Site C Project Assurance Board. The ideal candidate would

be a trained and experienced administrative assistant. This is a fast-paced work environment and the right candidate must

be able to juggle multiple priorities, quickly changing schedules and timelines, and be able to be responsive to the large

number of individuals (board members, government contacts, executive team members) the Corporate Secretary’s Office

serves. This role may include additional administrative duties to support other Executive Team members.

  • Provides confidential administrative support to the Board Chair and Corporate Secretary’s Office, including admin support

to the Board directors, Site C Project Assurance Board members, and others connected to Board work, as required

  • Manages the smooth and efficient operation of the Office of the Chair and Corporate Secretary’s Office by establishing

and maintaining administrative systems and processes.

  • Maintains calendars, manages mail and directs client inquiries for Board Chair and Corporate Secretary, which includes: -

Informing Chair and Corporate Secretary of deadlines/action items and drafting replies for action items and other

correspondence as appropriate - Researching and initiating actions and projects to ensure that responses, activities and

deliverables are received and/or completed by appropriate deadlines. - Directing incoming inquiries as appropriate and

ensuring responses are completed by deadlines. - Maintaining a "Bring Forward" system to ensure all deadlines are met.

  • Acts as a process coordinator and internal contact for smaller matters related to the BC Hydro Board.

  • Collaborates with internal and external partners in overseeing Board of Directors matters.

  • Maintains/coordinates electronic files and follows Records Management guidelines.

  • Informs Board Chair and Corporate Secretary of deadlines/action items and may draft replies for action items/

correspondence.

  • Administers departmental financial functions for Time and Labour, Expenses On-Line, SAP invoicing and ensures

Corporate Secretary approves above in compliance with policies and timelines.

  • Manages and coordinates information between BC Hydro and external contacts, including the Provincial Government,

ensuring security of sensitive information.

  • Prepares various documents, reports, presentations, etc. for Board Chair for delivery to senior executives, external groups

and organizations.

  • Assists with coordinating Board processes which can include drafting materials and scheduling Board meetings, retreats

and workshops.

  • Other duties as required by the Board Chair and Corporate Secretary.

Qualifications:

  • Completion of Grade 12 with business and/or other professional development courses.

  • Completion of Administrative Assistant, Legal Assistant or Paralegal courses an asset.

  • Three to Five (3 - 5) years office experience at a senior administrative level with excellent knowledge of office practices

and procedures.

  • Proactive team player, with excellent attention to detail, superior organizational skills and excellent time management.

  • Knowledge of BC Hydro and its operations/processes preferred.

  • Knowledge of Government and its operations/processes preferred.

  • Ability to exercise judgment, diplomacy and tact and display business acumen in dealing with varied day-to-day

challenges in a fast-paced environment.

  • Ability to liaise effectively in a professional and business-like manner with members of the Board, Executive and other staff

within BC Hydro and with senior officials external to the organization.

  • Exceptional communication, inter-personal, organizational, problem solving, time management and expediting skills.

  • Proficiency in MS Outlook, Word, Excel, Visio, SAP and SharePoint and willingness to learn Diligent, our board-specific

software

  • Ability to act independently with a high level of confidentiality, judgment, discretion, and initiative where needed.

  • Ability to work in an environment with tight and/or conflicting deadlines while maintaining an efficient, flexible and

supportive manner.
