About Family Day:
Family Day Care Services is a non-profit, charitable organization with a long and distinguished history of providing high-quality early learning and child care services to children and families throughout Toronto, York and Peel Regions. We are a multi service organization with over 500 employees, providing a broad range of services including: 29 Child Care Centres, 49 Before and After Care programs, 204 Licensed Home Child Cares, 9 EarlyON programs, 2 Homework Plus programs, and Special Needs Resourcing for children and their families living in the Greater Toronto Area.
Job Purpose:
This position is responsible for providing exceptional customer service, general secretarial and administrative support and assistance to internal and external clients.
Job Duties:
- Provides secretarial and administrative services utilizing full Microsoft Office suite.
- Organizes and maintains paper and electronic information storage and retrieval systems.
- Provides services including faxing, photocopying, mail processing and distribution, transcription, etc.
- Provides technical support and assistance on general office equipment for others in the office (i.e. photocopiers, mail machines, fax machines, folders etc.).
- Responsible for maintenance calls and tracking of maintenance records for general office equipment.
- Assists in the effective dissemination of materials and communications.
- Maintains supplies for office.
- Maintains coffee/refreshment services for office.
- Provides general reception duties projecting a professional image at all times.
- Receives funds and provide receipts
- Perform other duties as required
Qualifications and Requirements:
- High school graduation, plus specific courses or specialized community college diploma.
- 2 – 3 years general administrative experience
- Excellent English language skills - proven written and oral communication skills
- Proven history of continually expanding knowledge base and pursuing information and ideas that enhance both productivity and client service
- Proven ability to work as part of a team, be flexible, highly organized and able to juggle multiple priorities
- Proven intermediate to advanced technical skills utilizing the full Microsoft Office suite of products including Word, Excel, Access, Outlook, Publisher and PowerPoint.
- Strong organizational skills with the ability to maintain data management systems
- Ability to work independently, with minimal supervision and guidance
- Ability to exercise initiative
- Highly developed interpersonal skills to establish and maintain positive relationships with staff
- Ability to multi-task, set priorities, meet deadlines and commitments
- Take initiative to develop innovative solutions to challenges and problems.
- Medical required – including TB (two stages) 6 months current to hiring date
- Police Vulnerable Sector Check 6 months current to hiring date
- Standard First Aid and CPR, level C
