About the role

Saint James Music Academy (SJMA) seeks apassionate individual to join our team of committed staff, music teachers and volunteers who provide life-changing opportunities to children and youth in the Downtown Eastside community of Vancouver. We offer a free after-school program in classical music education, and so much more. A grassroots organization since our founding in 2007, SJMA enjoys a wide range of support from friends and neighbours, arts organizations, local business, and religious institutions. We thrive on the energy and shared success of many hands coming together for the narrow but beautiful focus of this work: making high quality music education - and all of the gifts that music brings - available to kids in our community.

Location: Saint James Music Academy,

303 Cordova Street, Vancouver

Wage: $24/hour + 4% vacation pay ($25 total)

Days: Monday through Thursday, plus an hour from home on Friday

Hours: 25 hours per week (6 hours per day, from 1:00pm to 7:00pm, plus an hour on

Friday for correspondence, and periodic meetings. Hours increase for our Christmas and Spring concerts, and other special events.

Work Dates: August 1st 2025 to part-way through June 30th 2026*, approximately

following the academic school year.

*(Excluding statutory holidays, Hallowe’en, Christmas holidays, Spring Break, and on District-Wide Vancouver School Board Pro-D days, when SJMA is closed)

Qualifications

  • A minimum of Grade 12 education, or an equivalent combination of education and experience;
  • Efficient in Google Suite and CRMs, or a strong aptitude to learn these
  • 1 year experience in a fast paced environment, administrative/clerical preferred
  • Flexible and able to adapt to last minute changes and requests
  • Fluent in English with strong written and verbal communications skills
  • A warm, friendly demeanor and a big heart for children is a must
  • A self-starter who is able to work both as part of a team and with minimal supervision/direction
  • Dependable, organized, and attentive to detail
  • Ability to be assertive and to set healthy boundaries
  • Second language, music skills and violence prevention training are assets

DUTIES Program Operations

  • Managing the ‘Communications Hub’ at the front desk of the main building
  • Welcoming students / families and guests, gate keeping the entrance
  • Signing students in & out, tracking student attendance and following up with families in case of absences
  • Reporting any issues concerning students or the facility to the Program Director
  • Tracking attendance in the CRM reporting to Program Director regarding absences and attendance issues
  • Monitoring the SJMA main telephone line and conveying messages
  • Tracking, following up on, and reporting on student attendance
  • Receiving & recording instrument returns / donations according to the Academy’s instrument receiving protocols
  • Conducting mass communications via the Academy’s SMS system
  • Assisting with the creation of digital permission slips for upcoming events
  • Coordinating communications for our van drivers and walking school bus from local elementary school assisting with walking students between buildings as needed
  • Assist with the organization / delivery of extra rehearsals and special events
  • Assisting with the general supervision of students

Administrative Duties

  • Updating records in the CRM
  • Recording scheduling changes / updates for students and teachers
  • Errands such as post office, etc.
  • Administrative assistance to teachers (limited)
  • Ordering supplies as needed
  • Running reports, assisting with calendar updates, scheduling Zoom meetings, taking minutes, creating permission forms and other related administrative tasks

Pay: From $24.00 per hour
