POSITION SUMMARY

The Housing Clerk is responsible for providing administrative and clerical duties that support the efficient day to day operations of the Community Housing Department.

DUTIES AND RESPONSIBILITIES (not listed in order of priority)

  1. Provide clerical and administrative support to the Community Housing Department as delegated including processing of mail, answering telephones, filing and file systems, word processing, data entry, minute taking and distribution.

  2. Data input, monitoring and maintenance of specialized information systems for social housing that track applicant, tenant, maintenance and financial data. Programs include, Yardi Voyager, Riva, SAP and other systems as required.

  3. Schedule work associated with turnover of units, daily maintenance and repairs.

  4. Schedule, monitor, collect information and process annual review of applicants and tenants.

  5. Process referrals to social housing providers.

  6. Prepare tender and annual contractor packages.

  7. Respond to telephone calls, messages and visitors providing information and assistance.

  8. Prepare and send correspondence related to applicant, tenant, and maintenance issues.

  9. Obtain quotes for work and purchase orders.

  10. Issue work and purchase orders.

  11. Collect information and prepare required reports.

  12. Monitor office supplies and order sufficient quantities as required.

  13. Purchasing card reconciliation.

  14. Maintain inventory records for social housing buildings.

  15. Provide input into the development of related policies and procedures as required.

  16. Participate in committees as required.

  17. Provide clerical support and assistance to other managers as assigned.

  18. Comply with provincial and County occupational health and safety legislation, regulations, policies and procedures.

  19. Maintain confidentiality in accordance with the Municipal Freedom of Information and Protection of Privacy Act.

  20. Perform other duties as assigned.

EDUCATION, TECHNICAL SKILLS AND CERTIFICATION

  • Minimum one (1) year post-secondary certificate in Office Administration or equivalent to obtain a general knowledge in clerical/office functions (or a combination of education and experience).

  • Advanced word processing, spreadsheet and database application skills. Demonstrated keyboarding skills at 55-60 words per minute.

  • Strong interpersonal and communication skills.

  • Criminal reference check with vulnerable sector clearance.

EXPERIENCE

  • A minimum of two (2) years of varied office experience.

EFFORT

  • Mental and visual effort required when doing data entry, taking minutes, etc.

WORKING CONDITIONS

  • Regular office environment.

  • May have to interact with tenants who are in emotional crisis.

  • May be exposed to stressful, unpleasant/emotional situations when dealing with tenants who have conflicts.
