About the Role
As a Service Advisor/Appointment Coordinator, you’ll be the first point of contact for service customers — booking appointments, coordinating schedules, and helping ensure each customer receives an exceptional experience from drop-off to pick-up. Your role supports both customer satisfaction and efficient service department operations.
Your Role as Appointment Coordinator

Greeting service customers in a prompt, courteous manner in person or over the phone.

Schedule service appointments using the dealership approved recommended process.

Returning phone messages promptly and providing follow-up with customers.

Communicate with customers to obtain customer and vehicle data, and to determine the nature of mechanical problems.

Review the cost estimate and time estimate for completion of work with customers and ensure that they agree to having the work completed before it is started.

Advise customers on the care of their cars and the value of maintaining their vehicles in accordance with manufacture’s specifications, using maintenance menus.

Keep a daily log of repair orders, work order status, and carryovers.

Communicate the need for additional work when needed; explain the details to the customer, including the additional cost and time consideration and document properly on repair order.

Keep customers informed throughout the repair process.

Review work performed, explain charges and coverage to customer.

Interpret warranty information and policies to customers.

Assist the service manager as required.
You Are an Excellent Fit if You can Demonstrate:
- Previous experience as a Service Advisor, Appointment Coordinator, or Customer Service Representative (automotive industry preferred).
- Excellent communication skills - both written and verbal.
- The ability to work well under pressure.
- Excellent time management, organizational and multitasking skills.
- Proven data entry and typing skills, and a strong attention to detail.
- Familiarity with dealership management systems (CDK, Reynolds, etc.) is an asset.
- Diplomacy, and professionalism when dealing with customers and coworkers.
- A customer-first mindset with attention to detail.
- A valid driver’s license and clean driving record.
- A commitment to delivering the highest level of customer service — the Toyota way.
