Position Title: Receptionist – Saskatoon
Weekly Hours: 32 hours per week - Benefit Eligible Position
Workdays: Monday, Tuesday, Thursday and Friday
Position Purpose
The Receptionist serves as the first point of contact for patients, physicians, and staff, supporting Mayfair’s mission to enhance lives through medical imaging. Key responsibilities include processing consultation forms, managing reception tasks, maintaining patient files, and scheduling examinations. The role also supports technicians and radiologists while ensuring excellent customer service for patients in line with Mayfair’s core values of excellence, curiosity, passion, collaboration, and service.
Reporting
This position reports directly to the Clinic Manager.
Duties and Responsibilities
- Be the first person a patient speaks with when making an appointment for MRI services. Your empathetic, patient and understanding disposition will put our patients at ease and confirm they have contacted the right service provider.
- Confidentially administer and process patient information and requisitions efficiently, book patient appointments and ensure all information is accurate.
- Book all MRI calls accurately in our operating system and SHA RIS according to department protocol.
- Maintain consistent level of accuracy and service while tracking patient’s entire MRI booking process, including performing outgoing calls for follow up and additional booking procedures as required.
- Anticipate the needs of our patients and referring physicians, act as an ambassador for Mayfair and always want to go one step further to provide the best patient experience possible.
- Explain and ensure all patients are prepared and understand their examination procedures and appointment(s) details.
- Retrieves reports and reads or faxes to physicians as required.
- Picks up, sorts, and distributes incoming mail/fax messages.
- Sorts and distributes imaging reports for mail, in-house delivery or courier pickup.
- Notifies supervisor of need to order supplies in a timely manner.
- Assists in orientating new staff.
- Prints day schedule at the end of each day for the next day’s appointments per modality and distributes to the appropriate departments.
- Receives all requisitions and ensures that the information provided is complete and correct.
- Receives monies from patients paying for exams.
- Performs trial banking and prepares deposit of monies received in the clinic.
- Maintains patient files confidentiality in regards to patients and their illnesses, treatment and diagnosis.
- Ensures incoming patients are admitted for examinations in a timely fashion.
- Advises technologist in appropriate area of patient's arrival
- Greets patient in reception area in a warm, respectful manner and attends to every detail of patient comfort.
- Confirms patient information is correct and accurate.
- Burns images on CD for send out requests.
- Ensure that previous scans and films are called for and available for the patients’ appointment.
- Retrieves images from PACS, and Tools if no technical aide
- Focuses towards working in a team environment with an upbeat attitude, with the willingness to learn and work professionally to support both internal and external stakeholders.
- Performs other related duties as required.
Qualifications
- Completion of Grade 12 required.
- Minimum of 2 year of receptionist experience in related medical reception and administrative duties including booking appointments preferably in a diagnostic imaging environment desired.
- Certification as a Health Information Office Assistant or Medical Office Assistant is an asset.
- Knowledge of medical terminology and anatomy desired.
- Computer/keyboarding skills required, typing skills 45 wpm or better required.
- Legible handwriting required.
- Good interpersonal & effective communication skills (verbal, written and oral)
- Strong attention to detail
- Ability to demonstrate excellent customer service to all patients.
Working Environment
- Requires use of the phone, computer and sitting for extended periods of time
- Normal movements of twisting, bending, reaching and using hands and arms in completing paperwork and administrative tasks
- May be required to lift items up to 3 kilograms
- Must be prepared to work flexible hours as required to complete duties during non-business hours
