About the opportunity
Reporting to the Program Manager, the Program Coordinator will be responsible for the execution of education programs in Taxation including in-person and virtual courses and conferences. The individual will require experience in program planning, coordination and administration of educational programs; as well as, having experience managing external vendors.
This hybrid role with the flexibility to be remote is national in scope and can be aligned to any of our CPA Canada offices.
The targeted annual salary range for this position is $65,000 to $75,000 and is commensurate with experience.
What you'll do
In this role, you will:
- Create and maintain documentation as needed e.g., critical paths, timelines, agendas, contracts, faculty and participant communications, course materials, survey evaluations and post event reports.
- Assist the Program Manager with the online registration set-up and all event web posting, including set-up/maintenance of the virtual classrooms.
- Responsible for the quality control of event materials. Follow CPA Canada branding guidelines and standards for accessibility.
- Coordinate all event program logistics including venue logistics, virtual classroom logistics, food and beverage arrangements, event materials, speaker/exhibitor arrangements and AV checks audio-visual requirements, etc.
- Review the Learning Management System for accuracy and use as needed for participant and faculty communications.
- Responsible for the speaker/faculty engagement letters and coordinate all speaker/faculty requests, including accommodation, travel arrangements, special dietary requirements, etc. In addition, for virtual programs, coordinate AV checks and recordings with speakers, and ensuring deadlines for deliverables are met.
- Respond to questions from participants and faculty related to tax courses.
- Assist in compiling and summarizing course feedback from feedback surveys of participants, course faculty and other stakeholders.
- Manage the web posting and printing of all onsite materials and coordinate shipment of materials to course location.
- Ensure accuracy of all program expenses and tracking contracts; verify each invoice and process for payment, track all expenses and provide expense reports at the end of each event.
- Assist with program administration of online courses and training sessions.
- Occasional reviewing and editing of webinar transcription files, when required, for accessibility compliancy.
- Represent CPA Canada with high professionalism; remain professional in person, by email and by phone when communicating with internal stakeholders, speakers, course faculty, exhibitors, participants, venue staff, etc.
What we're looking for
The ideal candidate will have the following skills and experience:
- 3 years of experience in coordinating professional learning programs including event management and administration, preferably in an association/education management function, demonstrating increasing experience and accountability
- Knowledge of best practices in event planning (in-person and virtual) and strong work standards
- Experience in coordinating with external service providers and vendors, as well as internal teams to ensure smooth delivery of professional learning events and programs
- Proficient with Microsoft Office; specifically, Excel, Word, PowerPoint, Outlook, SharePoint Teams, Zoom and with Adobe
- Experience using D2L Brightspace (Learning Management System) is an asset
- Task-oriented with ability to multitask, prioritise and work well under pressure
- Superior time management skills; proven track record of delivering events on time; ability to manage multiple events simultaneously with acute attention to details
- Flexibility to manage and reset priorities to accommodate program changes, new offerings or other deviations impacting the portfolio
- Ability to be proactive and work with minimum supervision, as well as collaboratively in a team environment
- Strong interpersonal and communication skills; ability to adapt different communication methods according to situational requirements
- Strong customer service skills and ability to problem solve
- Ability to recognize and willingness to assist others to achieve team success
- Aptitude for building strategic working relationships
- Good understanding of AV requirements; experience with virtual conferences, webinars and virtual meetings using various platforms including Zoom and MS Teams.
- Experience working with tools and technologies supporting program coordination and ability to learn new technologies
- Ability to travel to in-person programs across Canada, when required
