Range of Pay: Group 9 - $37.88 to $44.63 per hour (Subject to Review)
The start date will follow the selection process.
This position is eligible to work remotely on a part-time basis (Note: Must be able to report to a City of Greater Sudbury work location on short notice).
Main Function: Provide administrative and operational support duties for the Paramedic Services Division, non urgent patient transfer section. The Co-ordinator will be responsible for overseeing the patient transfer service, collaborating with stakeholders, and maintaining a high standard of patient care. Responsible for the scheduling function of the time and attendance management system for Paramedic Services with the guidelines established in policies and collective bargaining agreements.
Characteristic Duties: Under the general supervision of the Deputy Chief of Paramedic Services.
- In conjunction with the Central Ambulance Communications Centre manage and coordinate all aspects of patient transfers, including arranging transportation, communication with sending and receiving facilities, and ensuring timely and safe transfers.
- Collaborate with medical staff, administrators, and support personnel to ensure accurate and up to date information is shared during the patient transfer process.
- Establish and maintain effective communication with hospital staff, healthcare providers, ambulance services, and other relevant stakeholders to facilitate the coordination of patient transfers.
- Maintain detailed and accurate records of patient transfers, including patient information, transfer times and any special considerations or requirements.
- Ensure compliance with all relevant healthcare regulations and privacy laws in the documentation and handling of personal health information.
- Implement and monitor quality assurance measures to guarantee a high standard of patient care and customer service during transfers.
- Conduct regular reviews and evaluations of the patient transfer service to identify areas for improvement and implement necessary changes.
- Develop and implement protocols for managing emergency situations during patient transfers.
- Assist in the hiring, promoting, firing, and disciplining of personnel. Conduct performance appraisals and salary reviews as required.
- Act as management’s representative in the grievance procedure in accordance with the respective collective bargaining agreement as required.
- Actively participate in creating and implementing staffing and development plans.
- Coordinate, develop and maintain labour, staffing, and compliance reports for management and ministries (e.g., Ministry of Health) using various software (e.g., TAMS, Prehos, Excel).
- Assist with tracking and reporting to management on employee attendance.
- Contact employees to fill vacancies following the scheduling process established by policies and the collective bargaining agreement.
- Access confidential employee files, including matters relating to human resources, as required.
- Liaise with the Deputy Chiefs and other divisions on matters of confidentiality including human resources, agendas, etc.
- Develop and maintain a thorough working knowledge of CGS’s Safety Manual and the applicable provincial legislation listed therein.
- Perform other related duties as required.
Qualifications:
Education and Training:
- College diploma in Business Administration, Information Technology, or related discipline from a recognized community college with Canadian accreditation.
Experience:
- Minimum of one (1) year of directly related experience in the preparation and maintenance of work schedules in a unionized environment.
Or
Education and Training:
- Successful completion of a secondary school (Grade XII) education.
Experience:
- Minimum of two (2) years of directly related experience in patient transfer service coordination role or the preparation and maintenance of work schedules in a unionized environment.
Knowledge Of:
- Applicable legislation and related regulations.
- CUPE Local 4705 Collective Bargaining Agreements and the Paramedic Services policies and procedures.
- Best practices within areas of responsibility.
- Kronos functionality as it relates to scheduling an asset.
Abilities To:
- Demonstrate organizational and administrative skills.
- Demonstrate interpersonal skills in dealing with people.
- Demonstrate ability to interpret and apply policies and collective bargaining agreements.
- Work with computer software and administrative systems in a Windows environment (e.g., file maintenance, word processing, spreadsheet applications, information input and retrieval, etc.).
- Understand and meet the needs of the customers.
- Balance conflicting demands from stakeholders.
Personal Suitability:
- Mental and physical fitness to perform essential job functions.
Language:
- Excellent use of English; verbally and in writing.
- French verbal skills highly desirable; written skills an asset.
Competencies: Competency Library - Level 2 Proficiency (Supervisory)
