Job Summary:

The Transportation Compliance Specialist ensures company-wide adherence to transportation regulations and safety standards across both Canada and the USA. This role is responsible for driver compliance, regulatory audits, over-the-road (OTR) driver safety, fleet maintenance oversight. The specialist will play a key role in ensuring operational safety, mitigating risk, and supporting drivers through field visits and regular communication.

Key Responsibilities:

Driver Compliance & Safety (Canada & USA):

  • Develop, implement, and maintain corporate transportation compliance policies, procedures, and best practices to ensure adherence to regulations in Canada and the U.S.
  • Ensure business units maintain proper documentation and adhere to all compliance requirements related to driver qualifications, vehicle inspections and maintenance, Hours of Service (HOS), and Drug & Alcohol Testing (where applicable).
  • Monitor and maintain driver qualification files to ensure compliance with US and Canadian regulations.
  • Ensure hours-of-service (HOS) compliance through regular monitoring of ELD logs.
  • Support incident and accident investigations and follow-up actions for over the road drivers
  • Regular review and monitoring of company CVOR Safety information.
  • Quarterly review and assessment of Driver Abstracts and compliance adherence.
  • Lead safety meetings and develop ongoing safety training for OTR drivers.
  • Serve as a resource to drivers regarding compliance requirements and safety practices.
  • Monitor changes in transportation regulations and recommend policy or procedural updates.
  • Maintain and analyze compliance metrics and dashboards to identify trends and areas of improvement.
  • Serve as the point of contact during regulatory investigations or roadside inspections.
  • Support insurance and legal teams in case of claims involving transportation incidents.
  • Assist with the development of training materials and corrective action programs.
  • Participate in Driver Correction meetings.
  • Assist with permitting, licensing, and registration compliance for vehicles and drivers.
  • Prepare and coordinate internal and external audits
  • Maintain documentation and systems to meet audit requirements.
  • Support and track fleet maintenance schedules in accordance with regulatory and company standards.
  • Ensure vehicle inspection reports (DVIRs) are submitted, reviewed, and acted upon promptly.
  • Liaise with maintenance vendors and in-house mechanics to support fleet safety.
  • Coordinate and manage DOT-compliant drug and alcohol testing programs for CDL drivers.
  • Maintain confidentiality and integrity of testing records.
  • Oversee pre-employment, random, post-accident, and reasonable suspicion testing programs.
  • Conduct regular site visits and ride-alongs with OTR drivers to evaluate compliance, safety, and operational needs.
  • Provide hands-on coaching and real-time compliance checks in the field.

Qualifications:

  • Minimum 3–5 years of experience in transportation compliance, safety, or fleet management.
  • Strong knowledge of U.S. DOT/FMCSA and Canadian transportation regulations.
  • Familiarity with ELD systems, fleet management software , and audit protocols.
  • Experience conducting or preparing for regulatory audits.
  • Excellent organizational and communication skills.
  • Ability to travel frequently for site visits and field audits.
