Responsibilities –

  • Assist patients in completing documents (consent forms, questionnaires, etc.).
  • Explain the clinic’s policies (appointment cancellations, deposit fees, etc.).
  • Respond to patient inquiries regarding services or post-treatment care.
  • Identify emergencies and manage priorities.
  • Carry out patient admissions professionally.
  • Verify patient personal information and update their records as needed.
  • Ensure that the necessary documents (intake forms, authorizations) are collected.
  • Ensure punctuality of appointments and monitor adherence to schedules.
  • Monitor patients in the waiting room.
  • Organize the appointment schedule for doctors and nurses.
  • Confirm daily appointments with patients.
  • Cancel and reschedule appointments as needed.
  • Follow up with patients who miss appointments and reschedule if necessary.
  • Communicate for reminders or follow-ups regarding appointments.
  • Use the appointment management system (Nextech or other).
  • Verify patient preferences for contact methods (private or not).
  • Carefully complete relevant information for patient record management.
  • Follow up on patient satisfaction after treatments (Botox, Fillers, etc.).

Qualifications –

  • High school diploma required, office administration training (a significant asset).
  • At least two (2) years of experience in a similar position.
  • Spoken and written languages: good proficiency in French and English.
  • Committed to the well-being of the client.
  • Communicate effectively.
  • Demonstrate a team spirit and collaboration.
  • Show initiative and independence.
  • Ability to plan and coordinate activities.
  • Exhibit rigor, reliability, and flexibility.
