Senior Administrative Assistant
(Permanent Full-Time**)**

JIAS Toronto is a not-for-profit corporation dedicated to helping immigrants with resettlement in the Greater Toronto Area. JIAS Toronto assists lawfully admitted immigrants and refugees in meeting basic financial, social, legal, and other requirements of immigration. We work to advance the well-being and social integration of newcomers by providing a full range of outreach, support, counseling, training, and referral resources.

We are currently seeking a Senior Administrative Assistant to support the Director of Language and Settlement at our Agency. In this role, you will lead and organize projects and activities, providing essential administrative support to ensure smooth operations. This is a full-time permanent position outside of the bargaining unit*.*

RESPONSIBILITIES:

  • Handle administrative tasks, such as screening phone calls, scheduling meetings, and drafting agendas and meeting minutes.
  • Maintain calendar for reporting and data collection.
  • Provide administrative assistance for funding submissions and other relevant tasks.
  • Coordinate special projects related to data analysis and migration.
  • Compile statistical reports and program documentation.
  • Support insurance renewal process and ensure insurance certificates are sent to partner agencies.
  • Provide project management support.
  • Support facilities and property management issues at agency locations.
  • Review, approve, and ensure invoices are submitted and paid in a timely manner.
  • Backup for the Executive Assistant as needed.
  • Perform other duties as required.

REQUIRED QUALIFICATIONS:

  • Post-Secondary degree/diploma in Office Administration or related field.
  • Minimum 5 years of relevant experience, preferably in a non-profit environment.
  • Proficiency in Microsoft Office Suite (specifically Excel), and database programs.
  • Excellent communication, interpersonal and organizational skills.
  • Outstanding attention to detail.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Analytical thinking and problem-solving skills.
