The Opportunity

Alberta University of the Arts (AUArts) is looking for a temporary Student Affairs Assistant to contribute their highly organized, customer service-oriented, and problem-solving skills to a dynamic Registrar’s office.

This is a temporary full-time position starting as soon as possible until October 2026. Hours of work are 35 hours per week, 7 hours per day.

As a first point of contact for the students of AUArts, the Student Affairs Assistant provides information and assistance regarding programs, registration and student accounts in accordance with established policies and procedures. The Assistant initiates and maintains student files and academic records; and inputs data with respect to student personal data, admission, registration, grading and graduation information. The Assistant prepares and drafts a variety of letters, documents and reports related to the operations of Student Affairs.

Key Responsibilities:

  • Responds to inquiries in person, by telephone, and via email by providing information about programs and course regulations, to students, prospective students, faculty and staff.
  • Maintains and inputs data into the student records database in support of timetable development, registration, grading and graduation functions and generates reports and schedules.
  • Maintains and enforces confidentiality of all student records in accordance with provincial legislation.
  • Monitors and reconciles student tuition account information
  • Processes official transcript requests including production and arrangements for delivery.
  • Assists in the verification of student funding eligibility status and signs student loans.
  • Generates official confirmation of enrollment letters for student funding bodies. Assists in the verification of student funding eligibility status and signs student loans.
  • Updates student program requirement checks for academic progression
  • Monitors applications for graduation; ensures all eligible students apply to graduate; updates student graduation status in graduation database. Assists in proofing of final graduation list

The successful candidate will have:

  • A post-secondary diploma in Business Administration or related area
  • Minimum two (2) years’ administrative experience
  • Experience in a post-secondary environment is an asset
  • Experience with student information systems (i.e. Banner) is an asset
  • Demonstrated proficiency with the Microsoft Office Suite, including Word, Excel, and Outlook. Experience with SharePoint is considered a strong asset.
  • Excellent organizational skills with the ability to meet deadlines
  • Excellent customer service and problem solving skills

As a member of the AUPE bargaining unit (Local 071/006), this full-time temporary position falls under a classification 4 (Four). The starting annual salary is $47,876-$53,093. Please note, as per 3.02 in the Agreement, temporary employees are not eligible for Employee Benefits under Article 30. As per 1.01h(i) in the Agreement, a temporary employee may remain in the temporary employment until such time as the regular employee returns or the regular employee’s position becomes vacant, which as a result, may affect the end date of any offer.
