DUTIES AND RESPONSIBILITIES

• Manage the full purchasing cycle, including generating purchase orders, stock checks, pricing inquiries, and tracking ETAs

• Perform inter-branch (inter-depot) stock transfers and coordinate product availability across multiple locations

• Communicate with suppliers to negotiate pricing, confirm order details, and resolve any delivery or quality issues

• Analyze existing purchasing processes and provide recommendations for improvement, clarity, and efficiency

• Support branch staff with up-to-date pricing information and assist with product sourcing

• Maintain vendor files and purchasing records to ensure accuracy and easy access

• Collaborate with internal teams to anticipate purchasing needs and ensure inventory accuracy

• Assist management with month-end billing tasks, including invoice preparation and reconciliation

• Provide support for in-house accounting tasks, including accounts receivable data entry and payment tracking

• Help prepare reports and maintain accurate records for purchasing and financial activities

• Perform general administrative duties such as filing, organizing documents, data entry, and assisting with office coordination

• Support the day-to-day administrative needs of the team and step in on ad-hoc tasks as required

SKILLS AND COMPETENCIES

• Exceptional customer service

• Excellent interpersonal & communication skills, both verbal and written

• Impeccable organizational skills with attention to detail

• Proficiency in ERP systems

• Excellent computer skills (Word, Excel, Email)

• Self-motivated; able to function effectively both independently and as a member of a team

• Proven ability to learn quickly and work effectively in a fast-paced work environment

EXPERIENCE AND EDUCATION

• Minimum grade 12 education required

• Minimum of two years purchasing experience preferred

• Post-Secondary courses in Purchasing preferred

• Skilled in serving and negotiating with institutional and industrial purchasers, plumbing contractors, and the public an asset
