Education Program Manager
The Department of Medicine is the largest department in the Faculty of Health Sciences and consists of 18 divisions spanning the breadth of Internal Medicine. Our approximately 330 full-time (GFT) faculty, and more than 520 part-time faculty members work closely with our hospital partners at the Hamilton Health Sciences, St. Joseph’s Healthcare Hamilton, the Niagara Healthcare System and other regional partner institutions to deliver excellent clinical care, framed in the context of academic inquiry. The Mission of the Department of Medicine is to provide outstanding clinical care, to provide superlative education and to maintain our position as a "world-leading" center for research and innovation.
The Department of Medicine offers direct entry residency programs; subspecialty residency training programs; seven accredited areas of focused competence and forty other fellowship programs. Our core residency training program is nationally recognized for excellence and our subspecialty residency programs; Area of Focused Competence (AFC) programs and fellowship programs provide basic and advanced clinical training for learners across the breadth of internal medicine and its subspecialties. Our educators also provide direct support for our various affiliated schools and departments and the broader McMaster University mission.
Job Summary
The Education Program Manager (“Manager”) plays a critical role in the strategic development, administration and operational oversight of educational programs in the Department of Medicine. The Manager provides specialized leadership in the day-to-day operations of the education domain in the Department of Medicine. The incumbent will manage educational program staff, providing subject matter expertise and management of cyclical process and ad hoc initiatives, ensuring a high‐quality experience for program participants. The Manager will be responsible for the effective and efficient management of multiple large complex Education Programs which encompasses Postgraduate and Undergraduate Programs, including Clinical and Research Fellowships, and Residency Programs.
This position ensures compliance with accreditation standards, supports faculty collaboration, manages operations and human resources, and enhances the efficiency of educational processes within the organization.
Accountabilities:
Planning & Leadership
- Contribute to the Management Team’s overall education strategy, ensuring alignment with institutional priorities.
- Implement and maintain regular communication channels to keep all stakeholders informed and involved and to ensure awareness of any new or revised policies and procedures.
- Develop plans for education initiatives, ensuring program goals are met efficiently through collaboration between programs to maximize available resources, streamline events and improve efficiency.
- Oversee accreditation and compliance processes, ensuring adherence to relevant guidelines.
- Contribute to leadership decision-making by analyzing program trends, institutional policies, and available resources.
- Provides administrative leadership and operational support to ensure the effective delivery of postgraduate and subspecialty programs accredited by The Royal College of Physicians and Surgeons
- Support the implementation of equity, diversity, and inclusion initiatives in postgraduate education program development.
- Provide support for postgraduate residency and fellowship program administration.
- Manage accreditation documentation and oversee compliance with regulatory standards.
- Support faculty in the continual development of educational training initiatives.
- Works to foster established partnership with community organizations and individuals to further the Department’s strategic goals and to explore potential opportunities for knowledge translation
- Build and foster relationships with the Royal College of Physicians and Surgeons of Canada; and provides Post Graduate Medical Education and Undergraduate Medical Education administration and faculty leadership.
- Develop and implement innovative approaches to enhance outreach and foster community engagement, while contributing to the growth and sustainability of a diverse portfolio of educational programs and initiatives
- Contributes to leadership decision-making by providing broad overview of program requirements, past precedents, McMaster Post Graduate Medical Education / Undergraduate Medical Education policies, PARO policies, available resources, and predicted impacts.
Financial & Human Resource Management
- Review of Annual Budgets/Funding with Budget and Financial Analyst ensuring fiscal responsibility, expenditure control; and adherence to university policies and procedures.
- Lead and supervise a large team of Program Assistants and Coordinators ensuring operational efficiency, compliance with human resources policies and procedures and the Unifor Collective Agreement provisions.
- Monitor staff performance, allocate resources effectively, and implement professional development initiatives.
- Manage administrative office operations, ensuring adequate coverage during peak periods and transitions.
- Liaises with facilities and operations management team at the designated site (hospital and/or university) to assist with administrative office space allocations for the residency teaching sites.
- Receives and responds to time critical resources.
Systems & Process Coordination
- Oversee data collection, audits, and reporting related to academic contributions across multiple sites.
- Manage user access and ensure efficient utilization of inventory and scheduling systems (MedSIS, FHS DB, MedPortal).
- Plan and organize annual events, faculty education tracking, and administrative support for academic initiatives.
- Recommend procedural improvements to enhance program efficiency and workflow integration.
- Conduct data audits, compile results, analyze and summarize findings.
- Participates as a member of the various Education Committees and provides guidance on appropriate agendas and mandates for committees.
- Aligns and ensures integration of the Department’s education processes with the overall university processes.
- Manages multiple access templates for the inventory management system (MedSIS, FHS DB, MedPortal) ensuring employees have access and training in accordance with their job function(s).
- Gathers and compiles information required for a variety of documents and reports, including but not limited to, program accreditation Post Graduate Medical Education/Undergraduate Medical Education policies and processes.
- Develop and maintain policies, SOPs, and workbooks reflecting best practices in postgraduate education administration.
Communication & Stakeholder Engagement
- Maintain strong relationships with faculty, education leaders, and administrative staff supporting education programs.
- Liaise with faculty regarding training program development, evaluations, rotations, educational credits and policy updates.
- Provide administrative input for program retreats, workshops, and strategic educational initiatives.
- Communicates on and ensures alignment of policies and procedures with university and regulatory body requirements.
Qualifications:
- Bachelor’s Degree in a relevant area of study
- Minimum of four years of managerial experience, preferably in a university/hospital academic setting
- Proven ability to lead and supervise staff.
- The ability to demonstrate a high degree of commitment, organization, and motivation to deal with a high volume of work.
- Proficiency in educational program administration and knowledge of Royal College Accreditation and CaRMS processes.
- Strong leadership, problem-solving, and communication skills.
- Expertise in complex data management, reporting, and process improvement.
- High level of discretion, professionalism, and commitment to institutional excellence.
- Proven record of strong interpersonal, leadership, motivation, and presentation skills.
- Demonstrated experience working both independently and as part of a team with various stakeholders
- Working knowledge of resident rotation scheduling.
- An ability to effectively manage resources combined with a thorough knowledge of university policies and procedures.
- Proven ability to effectively manage staff across all levels of educational programs.
- Ability to provide one on one training or in a group setting.
- Experience and knowledge working with MedSIS, MedPortal, Mosaic, FHS DB
- Excellent computer skills including proficiency in Microsoft Office and MOSAIC HR and Finance, are essential
- Ability to demonstrate each of McMaster University’s six leadership qualities.
- Knowledge of clinical academic departments
