Working for the Faculty of Law

Founded in 1912, the Faculty of Law is the oldest law school in Western Canada. Faculty members of the University of Alberta, Faculty of Law are recognized nationally and internationally as leading scholars and teachers, and lead by example in their service to the university, legal and civic communities. The Faculty enrolls approximately 525 Juris Doctor students and operates a robust graduate program. The Faculty of Law is also home to four research groups that contribute research, ideas, innovation and policy expertise to important areas of public concern: the Wahkohtowin Law and Governance Lodge, Health Law Institute, Centre for Constitutional Studies, and Alberta Law Reform Institute.

Position

The main responsibility of this position is to support Law events, including developing an annual plan and event budgets, organization and logistics (booking space, catering, equipment, negotiating contracts with venues, setup/cleanup and securing staff in Law to assist with and work at events as required). The faculty has a significant number and variety of annual events, including events with high profile speakers (senior justices, politicians and other government officials) that require following correct protocols. This position also supports Law faculty members, mainly with class and exam preparation, maintaining current curriculum vitae and drafting routine correspondence. The incumbent also provides administrative support to Law Development.

Duties

  • Supports Law events, including strategic planning and budgeting, scheduling, coordination, booking space, ordering catering and equipment, event setup/cleanup and working with Law's Faculty Manager to secure staff to assist with and work at events. Also prepares and circulates notifications and reminders for events and maintains Law's internal events calendar in coordination with other Law staff.
  • Ensures correct protocols are followed for visits by high profile speakers, including senior justices, politicians and other government officials, paying particular attention to titles, and arranging for security if required.
  • Negotiates contracts for events, mainly with external venues and verifies contract terms and costs with Law's Faculty General Manager before finalizing.
  • Supports Law faculty members by assisting with preparation of class and exam material, drafting routine correspondence, ensuring curriculum vitae are current (mainly for research), assisting with tenure and promotion material and other routine support as required.
  • Supports Law advancement by assisting the Assistant Dean, Development with processing monetary and in-kind gifts and donations to Law, assisting with the set-up of new endowments, liaising with central Advancement as required |and working in coordination with the Law Program Lead, Alumni Relations to assist with event organization and logistics and to facilitate the success of alumni events.

Minimum Qualifications

  • High School diploma.
  • Proficiency with Microsoft Office and Google Workspace.
  • Experience with event planning.
  • Excellent organizational skills and attention to detail.
  • Excellent oral and written communication skills.
  • Effective interpersonal skills.
  • Ability to work independently and as a member of a high functioning team.
  • Ability to manage multiple tasks and work to deadlines.
  • Ability to prioritize conflicting tasks with tight timelines in a fast-paced environment.

Preferred Qualifications

  • Preference for a minimum of two years post-secondary education (specialization in events would be desirable).
  • Knowledge of University of Alberta policies and procedures (especially related to events and Advancement) would be an asset.
