Your role on our team: As the Move-In Coordinator at Richgrove Village Community, you will assist new residents as they transition into the community. The Move-in Coordinator acts as a liaison for new residents and the operations team to coordinate all aspects related to a move-in.

In This Role, You Will

  • Act as the primary point of contact for new residents and key contacts during the move-in process
  • Act as resident experience liaison between the resident and operations. Identifies residents’ personal preferences and communicates them appropriately.
  • Participate in the Pre-Delivery Inspection (PDI) process with the construction team, ensuring suites are complete and deficiency-free when handed over by the construction team. Liaise with the construction team, as needed. Create service orders in Yardi MIQ, or master spreadsheet tracker, as instructed, to track deficiencies and resolution of the same.
  • Conduct pre-move-in inspections of units to ensure they meet quality standards. Deliver welcome gifts to units prior to move-in, where applicable.
  • Coordinate and schedule move-in appointments. Communicate the upcoming move-in schedule with internal operating groups. Calendarize elevator bookings.
  • Provide appropriate information for all logistical details (i.e., move-in procedures, elevator booking hours, site orientation, contact details, etc.). Key distribution: Program fobs. Set up keys and key releases. Set up intercom services, and welcome materials.
  • Manage resident paperwork, including upload of leases, tenant information, tenant insurance documents, sub-metering forms, and move-in documentation.
  • Administration support to the Operations Team, including responding to calls, enquiries, organizing files - both digital and hard copy – and preparing reports, as needed.
  • Greet movers, residents, and their families on the day of move-in. Conduct orientation tours. Review available ancillary services with residents during the move-in process
  • Daily walk-through of model suite(s), move-in suites, amenity spaces
  • Daily update of suite assignments, move-in schedule, and contractor deficiencies.
  • Conduct pre- & post-inspections of the elevator and corridors to ensure there is no damage.
  • Provide back up to Service Coordinator(s), as needed. Perform other resident and customer service-related duties as assigned by the Property Manager.
  • Complete check-ins on new residents 2-3 days after their move-in.
  • Act as the primary point of contact for a new resident for at minimum, the first month of occupancy, ensuring any issues, questions, or concerns are handled promptly and professionally.
  • Coordinate access: Ensure proper notice is given in advance of entering occupied suites and/or that the resident has authorized entry in advance
  • As needed, assist with activities related to the rental and leasing of suites including showing and inspections.
  • Works in partnership with Operations and Leasing teams. May participate in a variety of meeting and work group activities.
  • Perform all facets of the job in accordance with the legislation applicable to the jurisdiction, including Health and Safety standards, WHMIS, AODA, PIPEDA, and Human Rights.

  • Other duties within the scope, spirit, and purpose of the job, as requested by management.

We Would Like You To Have

  • Undergraduate degree or diploma in Business Administration, hospitality environment, or relevant field of study.
  • Minimum 3 years of relevant work experience in a similar field.
  • Detail-oriented with superior organizational and time management skills. Ability to implement and monitor progress for successful completion, working under pressure and deadlines.
  • High proficiency with web-based tools and applications, including Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Flexibility to changing working hours (i.e. evenings, weekends, and Holidays.)
  • Experience using YARDI ERP and Salesforce platforms is a strong asset.
  • Working knowledge of general repair and maintenance in a property management setting
  • Excellent oral communication and presentation skills. Able to effectively communicate in verbal and written English.
  • Outstanding customer service standards. Able to place great emphasis on delivering exceptional resident experiences.
  • Highly collaborative, forming strategic relationships with colleagues across the organization. Able to listen to others, solve problems, and resolve conflicts.
  • Able to take direction and work independently as well as part of a team.
  • Must be comfortable around domestic animals/pets
