The Role in One Sentence
Support the Operations Manager in overseeing guide scheduling, real-time dispatch coordination, and operational performance tracking—ensuring our tours run smoothly and guides are always set up for success.
What You’ll Do
- Scheduling & Dispatch Support:
- Build and maintain accurate weekly guide schedules, help manage shift changes and last-minute coverage, and respond quickly to on-the-ground needs during operating hours.
- Real-Time Coordination:
Be available to assist with live issues—no-shows, delays, last-minute bookings—working with Head Guides and other team members to keep tours on track.
- Performance Monitoring:
Track and report on key performance metrics (e.g., attendance, punctuality, schedule adherence), escalating concerns to the Operations Manager.Serve as a first point of contact for scheduling-related questions and updates, sharing timely information and ensuring guides know where to be and when.Use platforms like Google Sheets, Discord, Rippling, and internal dashboards to input updates, track assignments, and streamline workflows.Support evening and weekend operations during high season (especially summer) with shift coverage on a rotating basis.Help with off-season projects including scheduling process improvements, SOP updates, and operations training coordination.Success in This Role Looks Like:

What You Bring to the Role
Must-Have:
- 1–2 years in scheduling, dispatch, operations coordination, hospitality, or tourism
- Experience with spreadsheets and scheduling tools (Excel, Google Sheets, etc.)
- Strong organizational skills and the ability to manage multiple priorities
- Excellent communication—clear, empathetic, and calm under pressure
- Flexibility to support occasional evening/weekend shifts during peak season
Nice-to-Have:
- Experience coordinating remote teams or frontline staff
- Familiarity with tools like Discord, Slack, Rippling, or workforce management software
- Interest in travel, tourism operations, or guest experience
