We currently have an opening for a full-time permanent Flight Operations Coordinator.

Leveraging your superior operational, administrative and organizational skills, you will provide a variety of logistical and administrative duties to the flight operations department. The ideal candidate will be detailed oriented, proactive and an analytical problem solver with the ability to work on multiple tasks simultaneously in an high-pressure environment.

Specific Responsibilities:

  • Ensure that all Flight Operations personnel have safety as their primary objective by adhering to established safety policies and utilizing the appropriate safety reporting program to identify and communicate all known hazards and risks to the organization.
  • Act as Duty Officer which includes but not limited to:
  • Flight Following;
  • Coordinating and Communicating Internal and Customer operational requirements;
  • Manage and Coordinate operational logistics such as crew movements (travel, accommodations, ground transportation) parts movements, aircraft movements and pilot scheduling.
  • Customer Focused – build, foster and maintain customer relationships by providing exceptional communication and service. Address, collect and disseminate accurate, clear and concise information in a timely manner.
  • Perform administrative tasks related to but not limited to:
  • creating and preparing reports, correspondence, forms etc. as applicable;
  • pilot scheduling and coordination of training requirements (ground school, simulator usage and flight training).
  • tracking and maintaining pilot recency and flight & duty times. Distribution of pilot training programs and maintenance of pilot training files.
  • payroll and any accounting requirements for the department.
  • Collaborates with managers to create procedures, policies and processes.
  • Other duties as assigned by the Flight Operations Logistics Manager.

Required Knowledge, Skills & Abilities:

  • Must be detail orientated with proven experience maintaining accurate records;
  • Excels at identifying issues, ability to take initiatives, have strong problem-solving skills and is highly organized;
  • Excels at working in a high pressure / stressful environment and ability to remain calm;
  • Must have strong proven Microsoft Word and Excel skills and the ability to quickly learn new systems and programs;
  • Must have excellent communication skills both written and oral;
  • Strong team player with the ability to focus on positive interactions in a dynamic environment; and
  • Ability to work independently, rotational shifts and/or on-call after hours.

Education & Experience:

  • Minimum 2 years’ administrative experience;
  • Previous aviation experience an asset;
  • Previous experience working within the constraints of a Collective Agreement an asset;
  • Completion of Grade 12.
