Assistant Manager, Ancillary Services

Reporting to the Manager of Ancillary Services, the Assistant Manager, Ancillary Services is responsible for maintaining operations with a primary focus on Selkirk College Student Housing. This position is dedicated to providing an exemplary service, including the development of student life activities and liaising with campus and community partners to support and enhance the student experience. The Assistant Manager ensures Student Housing operates efficiently and aligns with the college's mission, vision, and values. Key responsibilities include promoting Selkirk College student housing, supporting business plan development, and improving service delivery while maintaining operations within established budgets. This position oversees the daily administrative operations of student housing, including recruitment, training, and supervision of the housing team and the development and enforcement of the housing agreement. This role requires flexibility to work occasional irregular hours, including extended workdays. Assistance in other areas of Ancillary Services operation will be required from time to time.

Main Duties and Responsibilities

  • Oversees and maintains the student housing services at the Castlegar, Tenth Street and Silver King campuses, as well as the potential future expansion of student housing.
  • Oversees the daily operations of the student housing and contributes to the leadership, planning, development and implementation of housing strategies and student engagement activities that support the student experience.
  • Assists the manager to lead, train and inspire employees, to communicate effectively with students, faculty, staff members, vendors, contractors and other stakeholders who are involved with Ancillary Services.
  • Promotes a safe, respectful, and inclusive workplace that supports the academic and personal development for direct reports. Provides regular feedback and evaluations to team members, supporting the development of individual and shared goals.
  • Assists the manager to formulate and provide strategic plans and initiatives for long term planning as it relates to the student housing services for Selkirk College.
  • Assists in the review of institutional policies and procedures as they relate to Student Housing Services.
  • Coordinates with the Facilities Department on both daily operations and emergency issues. Regularly inspect and inventory housing buildings, ensuring proper cleaning protocols are followed and monitoring the condition of furniture, equipment, and supplies.
  • Oversees the occupancy management of Selkirk College Student Housing including applications, terminations, assignments, fees and student contracts. Provides regular updates regarding current and targeted occupancy rates and trends.
  • Creates a positive living environment in student housing through the management and direct supervision of the student housing team and student housing advisors while working closely with the Manager of Ancillary Service and Director of Student Engagement & Wellness to support student life on campus.
  • Maintains a strong emphasis on safety and security while supporting facilities planning and maintenance processes that enhance the student experience.
  • Reviews incident reports related to student and housing life, providing guidance and coaching to the housing team on issue resolution and student conduct matters. Provides training and promotes awareness of student support strategies, campus and community resources, and after-hours support, assistance and referrals.
  • Work with the housing team to develop and refine preventative, and early intervention strategies to support student well-being and conduct.
  • Supports all aspects of the student housing summer conference operations, inclusive of selection, hiring, training and scheduling of employees.
  • Responds to and assists with after-hours emergencies.

Skills, Knowledge, and Abilities

  • Proven management skills and the ability to manage student housing services in a multi-campus environment.
  • Ability to motivate, lead and develop staff and a demonstrated commitment to continuous improvement of services.
  • Demonstrated ability to be effective in emergency situations.
  • Proven financial management skills, accounting and reporting ability, including the use of Excel or comparable spreadsheet programs.
  • Demonstrated ability to deal with situations that require tactfulness and confidentially, the candidate must have the ability to adapt to a changing work environment, to foster a collaborative work environment, and to work independently.
  • Strong understanding of current trends, best practices, and research as they inform the student housing field.
  • Experience working in diverse communities and supporting the needs of a population that includes international students, indigenous students, and students with accessibility needs.
  • Proven ability to develop concise and well-informed policies, procedures, and business practices that contribute to positive service experiences.

Education and Experience

  • Bachelor’s degree required. Educational background in business, education, or another related field.
  • A minimum of 2-3years related experience in a college or similar environment (union environment is preferred).
  • Holds and continually maintains a valid class 5 British Columbia driver’s license (in order to travel between campuses).
  • Experience in a student housing setting will be considered an asset. Formal training in crisis response and emergency management is considered an asset.

This is a regular, full-time (100%) position, commencing as soon as possible**.** Salary and benefits are in accordance with the Administrative Staff and Benefit Program. Based on qualifications and experience, the compensation is in accordance with the Exempt Compensation Framework which is aligned with Selkirk’s compensation philosophy. As such, the position will be placed on Grid Level 8 between the minimum and control/mid-point ($74,168 - $98,891).
