Job Title: Administrative Assistant

Position Summary:

We are seeking a highly organized and proactive Administrative Assistant to support senior leaders and cross-functional teams within our organization. As a key member of the Office Services team, you will ensure the smooth execution of daily administrative operations while delivering executive-level support across various departments. This role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.

Key Responsibilities

Administrative and Executive Support

  • Manage complex calendars, schedule internal and external meetings, and coordinate travel arrangements (domestic and international)
  • Prepare and process expense reports, invoices, and purchase orders
  • Create and update documents, presentations, spreadsheets, and organizational charts
  • Provide direct support to the General Manager and assist other executives as needed

Office Management

  • Serve as the first point of contact: greet visitors and manage incoming phone calls
  • Maintain office supply inventory and ensure availability of essential items
  • Coordinate meeting logistics, including room reservations, setup, catering, and A/V requirements
  • Handle incoming and outgoing mail and courier shipments

HR & Finance Support

  • Assist with time tracking, vacation scheduling, and internal HR communications
  • Manage employee expense reports and support payroll time sheet submissions (approx. 30 employees)
  • Collaborate with the finance team to process supplier invoices, ensure proper coding in SAP, and track payments

Team and Event Coordination

  • Actively participate in the planning and execution of internal events (e.g., social committee, wellness initiatives, charity campaigns)
  • Support departmental initiatives and ad hoc administrative projects as required

Qualifications

Minimum Requirements

  • High school diploma in office administration or equivalent experience
  • 3–5 years of administrative support experience
  • Proven ability to manage confidential information with discretion
  • Excellent organizational and time management skills with a proactive approach
  • Strong interpersonal and communication skills in both French and English (oral and written)

Preferred Skills and Experience

  • Bilingual in French and English (written and spoken)
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Experience with Concur for travel and expense management
  • Familiarity with SAP ERP systems
  • Basic accounting knowledge
  • Experience working in an international and/or matrixed organization
  • Demonstrated initiative, flexibility, and a team-oriented mindset

Nous sommes à la recherche d’un(e) adjoint(e) administratif(ve) dynamique, polyvalent(e) et orienté(e) service pour soutenir les opérations quotidiennes de plusieurs gestionnaires et équipes. Ce poste nécessite une grande capacité à gérer les priorités, à travailler dans un environnement en constante évolution et à faire preuve d’initiative. Une attitude positive, une excellente capacité d’adaptation et une grande discrétion sont essentielles.

Responsabilités principalesSoutien administratif et direction

  • Gérer des calendriers complexes, planifier des réunions, organiser des déplacements (locaux et internationaux)
  • Préparer et soumettre des notes de frais, bons de commande et factures
  • Créer, réviser et mettre à jour des documents, tableaux, présentations et organigrammes
  • Fournir un soutien direct au Directeur général ainsi qu’à d’autres membres de la direction

Gestion du bureau

  • Accueillir les visiteurs, répondre et diriger les appels téléphoniques
  • Gérer les stocks et commandes de fournitures de bureau
  • Organiser les réunions : réservation de salle, logistique, commande de repas et coordination audiovisuelle
  • Gérer le courrier entrant/sortant et les livraisons par messagerie

Soutien RH et Finances

  • Compiler les feuilles de temps (environ 30 employés), suivre les congés et soutenir les communications internes
  • Gérer les comptes de dépenses des employés et le soutien à la paie
  • Appuyer le département des finances : traitement des factures, codification dans SAP, communication avec les fournisseurs

Coordination d’équipe et événements

  • Participer à l’organisation d’activités internes (comité social, Centraide, initiatives bien-être, HSE, etc.)
  • Contribuer à divers projets spéciaux et à toute autre tâche administrative au besoin

Exigences du posteProfil recherché

  • Capacité démontrée à gérer de l’information confidentielle avec discrétion
  • Excellentes compétences organisationnelles, rigueur et sens des priorités
  • Excellente communication en français et en anglais, à l’oral comme à l’écrit
  • Autonomie, souplesse, esprit d’équipe et sens du service

Formation et expérience

  • Diplôme d’études secondaires en bureautique ou expérience équivalente
  • Minimum de 3 à 5 ans d’expérience dans un rôle administratif similaire

Atouts appréciés

  • Bilinguisme français/anglais (obligatoire pour interagir avec des interlocuteurs à l’international)
  • Maîtrise de la suite MS Office (Outlook, Word, Excel, PowerPoint)
  • Expérience avec Concur (gestion de voyages et dépenses)
  • Familiarité avec le système ERP SAP
  • Connaissance de base en comptabilité
  • Expérience dans un environnement international ou matriciel complexe
