About the role
Northumberland Ferries Limited and Bay Ferries Limited, regional leaders in the passenger transportation industry, are seeking an Office Administrator to work out of the Charlottetown office.
PRIMARY PURPOSE
We are seeking a highly organized, proactive, and detail-oriented Office Administrator to manage the day-to-day administrative operations of our office. The ideal candidate will play a pivotal role in ensuring the office runs efficiently and smoothly, supporting staff, coordinating office activities, and handling a variety of administrative and clerical tasks.
Key Accountabilities:
- Greet and assist visitors, clients, and staff in a professional manner.
- Manage office communications including phone calls, emails, and mail distribution.
- Maintain office supplies inventory and place orders as needed.
- Support administrative requirements of senior management, including coordination of meetings, booking travel, preparing meeting agendas or capturing meeting minutes and other tasks as assigned.
- Organize and schedule meetings, appointments, and company events.
- Manage and maintain filing systems, both electronic and physical.
- Coordinate office maintenance and liaise with vendors and service providers.
- Support other departments with administrative duties as needed.
- Ensure compliance with company policies and office procedures.
- Assign office fobs and parking passes as required.
- Shipping and receiving of packages, collect mail and complete bank runs.
- Handle catering orders for lunch events, assist with event planning.
- Use a booking reservation system to make bookings as needed (phone calls/walk-ins).
- Maintain confidentiality.
Education, Experience**:**
- Post secondary diploma in office administration or related degree.
- Work experience in similar role.
Other Skills and Abilities
- Bilingual French/English would be an asset.
- Proven experience as an Office Administrator, Office Assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
Schedule and Work Environment:
The workplace is the head office in Charlottetown and the workstation is an open reception desk near the entrance. The hours for this position are generally from 8am to 4pm; however, as an essential industry that operates seven days a week, evening and weekend work will sometimes be required.
Additional Duties:
The contents of this job description highlight the essential duties of the Office Administrator. The Office Administrator may be assigned other duties as required within the scope of the role and/or to meet needs of the Company in a changing environment.
We expect to offer the successful candidate a salary range between $42,000 - $50,000. The actual rate offered will be commensurate with education and experience.
