We are seeking a Senior Legal Assistant to join our team of professionals in Montreal. The successful candidate will support the Vice President & General Counsel -Litigation as well as other lawyers and paralegals on a variety of matters:
Responsibilities:
- Provide accurate document preparation support by revising, editing, formatting, and proofreading a variety of documents, including complex commercial agreements, submissions and applications to regulatory authorities highly confidential correspondence, memoranda, and presentations. Prepare final executed versions of agreements.
- Update presentations, letters, internal tools, and other documents as needed.
- Open, organize and maintain files and documents, including precedent agreements and control documents.
- Review correspondence from clients and preparation of “to do” list and follow up with counsel re same.
- Review and monitor status of files and pro-actively assist with follow-up.
- Copy, print, and scan legal agreements.
- Enter deadlines in Outlook and key dates in Onit.
- Organize meetings and take care of all logistics.
- Coordinate and liaise with internal and external parties including external counsels as instructed by counsel.
- Organize and schedule meetings, seminars and conferences for the team as required and any related aspects – attendance lists, surveys, etc.
- Directly handle confidential matters. i.e. correspondence, telephone queries, etc.
- Process invoices, expense claims, and make travel arrangements.
- Produce a high quality and quantity of work product, occasionally under tight timelines.
- Provide assistance with special projects as required.
- Coordinate and resolve issues for Law Branch software and hardware in collaboration with the Director, Legal Operations and/or the IT Department
- Develop or update training material, awareness campaigns/ publications, records, table of authorities, licenses or permits
The selected candidate may not necessarily have experience of performing all tasks and will receive hands-on training from our capable team.
Qualifications
- Minimum of 5 years of legal secretarial work experience, preferably in a corporate or law firm setting.
- Experience in providing administrative support in an upper-management capacity.
- Excellent legal secretarial and clerical skills.
- Excellent time management skills
- Excellent organizational and administrative skills with the ability to manage multiple tasks and prioritize deadlines.
- Ability to prioritize and to redefine priorities when necessary.
- Ability to use discretion when dealing with confidential information.
- High proficiency of written French and English.
- High degree of diplomacy, maturity and judgment
- Strong understanding of legal terminology.
- Excellent communication and interpersonal skills to collaborate with internal stakeholders and senior management.
- Excellent attention to detail and accuracy in document preparation and review.
- Ability to work collaboratively as part of a team and to develop strong professional working relationships.
- Strong inclination to take initiative and be proactive and to offer to assist and support co-workers and counsel.
- Ability to work with little or no supervision.
- Ability to work under pressure with speed and accuracy and establish priorities.
- Demonstrate a high degree of tact, discretion, and good judgment in recognizing scope of authority and in protecting confidential information.
- Desire to take on new initiatives, to learn and adapt to new types of work and to changing requirements.
- A desire and ability to continuously expand and update professional knowledge and hone training skills to enhance individual and team innovation and productivity.
- Proficient computer skills using Microsoft Office (including, Word, Outlook, PowerPoint, Excel, and MS Teams), Adobe, iManage, and other software primarily designed for legal departments.
- A passion for learning and gaining a deep understanding of the business to support strategies and objectives more effectively.
- Knowledge of the industry is an asset.
- Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
