Job Summary

As the first point of contact at Acura Sherway, the Receptionist plays a vital role in creating a welcoming and professional experience for every customer. This position is responsible for answering calls, greeting visitors, and supporting various administrative tasks. The ideal candidate is organized, dependable, and passionate about providing excellent service, helping to build strong customer relationships and lasting Brand loyalty.

Major Duties and Responsibilities

Welcomes customers by phone and in person

• Consistently displays a pleasant and friendly disposition at all times.
• Accurately records messages and information.
• Delivers exceptional service to each customer.

Develops strong relationships with customers and team members

• Greets customers in a prompt, friendly and courteous manner.
• Listens to customer needs and takes appropriate action in a timely manner.
• Keeps detailed records of all interactions with customers.
• Handles all customer queries and concerns with a genuine intent to solve their problem in a timely manner.

Detail oriented

• Listens to and documents customer needs and expectations.
• Ensures any administrative paperwork is completed in an accurate and timely manner.
• Files all paperwork that needs to be filed.
• Reviews and analyzes actions regularly to determine how to better utilize time and plan more effectively.

Commits to the Brand

• Stays up to date on all Brand training.
• Is knowledgeable about new features, special updates, etc.
• Acts as a champion for delivering service excellence 100% of the time.
• Maintains the cleanliness of personal and team workspaces.
• Maintains a high level of professionalism in body language, etiquette and appearance.

Additional Duties Include:

• Balances debit card and credit card transactions.
• Completes work orders.
• Completed dealertrade paperwork and coordinates all activities required for dealertrades.

Minimum Qualifications and Skills

• High School Diploma (or equivalent), or working towards a High School Diploma.
• Experience in customer service.
• Experience in reception at a dealership, an asset.
• Excellent customer service skills including superb telephone demeanour and active listen skills.
• Excellent written and oral communications skills.
• Team oriented and enjoys working with others toward a common goal.
• Proven ability to work well under pressure while maintaining a calm demeanour.
• Proven ability to be organized and prioritize tasks.
• Has a keen eye for detail.
• Excellent interpersonal skills with an upbeat and engaging attitude.
• Flexible and open to change; able to take on special tasks as needed.
• Hold’s a valid driver’s license.
• Able to operate manual and automatic transmissions.
• Must be proficient with all Microsoft suite applications i.e., excel, word.
• Able to manage customer complaints and to solve difficult problems.
• Available to work evenings and weekends.

Working Conditions

• Governed by concurrent and dynamic deadlines, despite conflicting priorities and frequent interruptions.
• Frequent handling of queries and calls from guests, and other departments.
• Fast paced and multi-tasking required.
• Adaptable to work flexible shifts, which include evenings and weekends, as scheduled.

Type of Supervision Required

• Reports to the New Car Sales Manager. Works under general instructions to prioritize and complete assigned tasks.
